This role supports the site management team reporting to the Senior Manager, Plant Operations. In this role you will have the responsibility for the organisation and co-ordination of administration duties and procedures, ensuring high levels of organizational effectiveness, communication and safety.are maintained.

What is involved

  • Maintaining office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment
  • Overseeing the day-to-day activities of the office as the main point of contact in the reception area for visitors, inc. answering the phone, keeping the visitor log book updated, scheduling appointments and keeping management informed of performance with routine and requested reporting
  • Answering general emails and postal correspondence with customers and suppliers
  • Updating with line managers site staff training plan and staff training records regularly
  • Responsible for the monthly stock check, and ordering all necessary raw materials for production and maintaining sufficient production stock levels.
  • Ordering and raising purchase orders with suppliers
  • Overseeing and maintaining office equipment for uninterrupted function, identify and fulfill office supply needs, maintain and manage vendors, and coordinate food deliveries as needed.
  • Liaising with facility management vendors, including cleaning and security services
  • Overseeing the planned maintenance of machinery and equipment, organising suppliers to be on site for planned servicing.
  • Maintaining a supplier database, documenting when machinery servicing is due
  • Responsible for the dispatch of Customer goods from the site, including dealing with export licenses to ensure correct despatch paperwork and licences are available for shipment
  • Ensuring Health and Safety site requirements are maintained and required checks carried out - including Fire Alarm testing, PAT Testing, RAMS carried out as required

Required experience

  • To be successful in this role you will be required to have at least 5 years experience or equivalent combination of education/work experience within a manufacturing environment.
  • Excellent organisational skills and time management skills.
  • Effective use of MS Excel, MS Word, MS PowerPoint.
  • Capable to complete statistical and data analysis using statistical tools such as MS Excel for KPI reporting and trending.
  • Ability to work independently under general guidelines and supervision
  • Strong influencing and interpersonal and communication skills to build effective working relationships across all key functions
  • Effective organizing, analysing and math skills to determine organizational, Customer and regulatory problems and formulate corrective action plans and /or solutions; attention to detail.
