As Office Manager, you will work as part of the Operations team to lead the effective day-to-day running of our facilities while continuously improving our operational processes.

What will you be responsible for?

Office and Facilities Management:

  • Lead initiatives and process improvements to create an enjoyable and productive office environment
  • Manage facilities maintenance with external vendors
  • Establish and enforce Health & Safety procedures and ensure day-to-day compliance
  • Organise physical and online data
  • Oversee the office management budget
  • Maintain the key supplies to ensure the smooth running of the office: equipment, stationery, kitchen supplies, refreshments, etc.

Procurement and logistics:

  • Purchase office and technical items in a timely and accurate manner
  • Manage shipments and ensure deliveries are received

Reception Duties:

  • Be the first point of contact for greeting visitors to our facility
  • Manage company enquiries by phone call and email

HR Support:

  • Organise team events
  • Respond to candidate queries
  • Arrange interviews using our Applicant Tracking System

There will be opportunities to get involved with other areas of Operations, depending on your interests and background.

Requirements:

  • Previous experience of office coordination or management, ideally in a startup environment
  • Proven track record in effective task management, project coordination and teamwork
  • Excellent communication (written & verbal) - accurate and professional
  • Excellent administration & organisational skills

Desirable additional skills:

  • Facilities Management experience
  • Health and Safety experience
  • Experience in procurement, shipping logistics and customs
  • Qualified first aider - training can be provided if necessary

Location:

Hybrid with 3-4 days in the office per week. Our office is based in Osney Mead, Oxford.
