Office Administrator

Salary: £28,808.47 plus Veolia benefits

Hours: 40 hours per week, Monday to Friday ( 8am - 4.30pm, including 30 min unpaid break)

Location: 96 Wilton Road, London, SW1V 1DW

What you'll be doing;

  • Oversee daily office operations, including supplies, maintenance, and facilities coordination.
  • Prepare, process, and track purchase orders to ensure timely procurement and delivery of goods and services.
  • Raise and process invoices, maintaining accurate financial records.
  • Liaise with suppliers and vendors, obtaining quotations and negotiating pricing where required.
  • Maintain accurate records of purchases, expenses, invoices, and office assets.
  • Take minutes at meetings, prepare summaries, and distribute to relevant stakeholders.
  • Arrange and coordinate meetings, including scheduling, room bookings, and technology setup.
  • Order and organize lunches, refreshments, and catering for meetings and office events.
  • Support internal teams with administrative tasks, scheduling, and documentation.
  • Ensure compliance with company policies and procedures in procurement, invoicing, and office management.
  • Assist in budget monitoring and expense reporting of operations.
  • Handle correspondence, filing systems, and office communication channels.
  • Support Westminster's 12 depots in arranging wellbeing lunches and events.

What we're looking for;

Essential:

  • Previous experience in office administration, procurement, or accounts administration.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and office management systems.
  • Good communication and negotiation skills.
  • Attention to detail and accuracy in record-keeping.
  • Experience with invoicing, catering coordination, and minute-taking is desirable.
  • Ability to work independently and prioritize effectively.

Desirable:

  • Basic knowledge of the waste industry.
  • Experience of utilising systems.
