If so, we have a great opportunity for an Engineering Purchasing Administrator to join the Partnership’s Engineering Team.
Our Engineering Team provides 24x7 seamless engineering support to 5 million square feet of state-of-the-art semi-automated warehouses and Distribution Network buildings - critical in ensuring systems, infrastructure and automation deliver effective availability for online sales and store replenishment fulfilment.
This is achieved by delivering planned and reactive engineering regimes to provide a safe and efficient operational environment, contributing to the success of network engineering business objectives, where availability and service-level are pivotal to site performance, network proposition now representing 85% of online sales fulfilment across estate assortments.
This role is known internally as Network Engineering Procurement Coordinator.

Expected salary - 35,500 - £37,000 (dependent on experience).

Working pattern/flexible working - The Partnership has adopted a hybrid working approach, meaning you'll be able to work a mixture between the office and home based. The Engineering Coordinator role requirements are one day a week working from home and the other days in the office at our Magna Park site.

Key responsibilities
-
Support the Regional Engineering Manager, Technical Services, Operational Management Team and Automation Specialists in formulating, implementing and achieving the sites’ projects whilst supporting BAU primary and secondary network engineering functions, respectful of technical specification policy and institutional standards.

Consult regularly with suppliers, reviewing SLA’s for consistency / best-in-class, ensuring any non-conformances are promptly resolved, expedite deliveries on- time and in-budget - and implement action plans when necessary.

Create and process procurement records (Invoicing, Manual Payment Request, Early Payment Request, Cheque Requisitions) including RFIs / RFQs and Purchase Orders (including monthly standing-orders for rental equipment & specialist labour) - ensuring accuracy and compliance are met on time for Goods and Services, using procurement digital platforms, Coupa, ARMS QMS, Service-Genie, Concerto, SI7, etc.

Warrant and release payments on-receipt of goods delivered/work completed in line with financial portals. Maintain accurate and organised records of all procurement-related transactions.

Maintain capital reports for month-on-month and year-end internal and external stakeholders. Collating project information, O&Ms, H&S, project milestone governance, drawing updates and closure at end of project.

Ensure monthly revenue expenditure remains within budget with period-end reporting to the Network Engineering Financial Controller Analyst.

Source and Onboard validated new suppliers for projects and operational parts and materials requirements, benchmarking from multiple suppliers and partners across the UK and Europe. Host, attend and participate in meetings with key stakeholders and suppliers.

Replenishment of business critical consumables - impact levels debilitating if not completed diligently.

Manage team availability through holiday planning and management of shift capacities by adhering to the guidelines for a team of c.90 Engineering Partners across 8 Distribution sites.

Record initial reported absence, updating extended Partner absence, creation of Return to Works.

Process training requests from internal stakeholders ensuring training courses are scheduled with relevant third-party training providers.

Collaborate with wider network teams (CFA Finance) to ensure all processes are conformant with company policies.
Essential skills/experience you’ll need

Evidence of working with Google Suite

Strong ability to interpret numerous pieces of information and identify what is important to form a point of view and course of action

Experience in building and managing relationships with stakeholders whilst being comfortable engaging, challenging and influencing them

Confident working across multiple portals

Educated to GCSE level or equivalent in Maths and English

Experience and understanding of working in Distribution

Good all-round communication and customer support skills/ethos

Confident in reporting and able to demonstrate analytical techniques

Experience working in purchasing in order to have general knowledge of procurement terminology

Effective at building and maintaining supplier relationships

Detail-oriented with strong organisational skills, working in a logical, systematic manner

Able to work independently and as part of a team
Desirable skills/experience you may have

Experience with procurement software such as Coupa, Oracle, CMMS and stock management workstreams

Previous experience gained from Engineering stores / Retail organisations and a fast-paced environment.
