About The Role

This is an administrative role, working with both EPSRC's Council and the UKRI Portfolio Director for Trusted Research and Innovation. The anticipated split is 50/50, with flexibility as required.

Team Purpose

This role will sit within the Executive Office that supports senior leaders and EPSRC's Council, and will work closely with members of the Governance and Planning and Trusted Research and Innovation Teams.

Job Purpose

The purpose of this role is to enable the effective functioning of EPSRC's Council and support to the UKRI Portfolio Director for Trusted Research and Innovation.

Working closely with the Senior Governance Manager and Council Secretariat, you will provide administrative and logistical support to EPSRC's Council, is its highest-level advisory group. You will communicate with senior internal and external stakeholders, ensure the smooth running of meetings, and the timely provision of papers and supporting materials.

In supporting the Portfolio Director for Trusted Research and Innovation, you will provide comprehensive executive assistance to ensure they are able to maximise their efficacy and capacity, alongside providing a wider administrative management function to the Trusted Research and Innovation team. You will be expected to handle material of various levels of sensitivities including papers and correspondence and organise meetings at various levels of security classification.

Both aspects of the role, require a high-level of professionalism, attention to detail, timeliness, and an understanding of the importance of confidentiality.

Main activities and responsibilities include:

  • Logistical planning and on-the-day support for meetings, including secretariat support for boards, groups, or forums as required;
  • Stakeholder management;
  • Event management, including booking venues, managing purchase orders/invoices, and attendance management;
  • Communications and task management, including drafting correspondence and presentations;
  • Complex diary management, including scheduling conflicts, travel, venue, room and meeting bookings;
  • Support for recruitment and interviews, including management of the induction process for new Council members;
  • Proactively monitoring and raising issues across areas of your responsibility as appropriate;
  • Sensitively dealing with confidential information.

Essential:

  • Ability to independently problem solve and handle complex tasks, acting with discretion and sensitivity (S&I).
  • Previous experience engaging with senior leadership, including dealing with sensitive information(S&I)
  • Previous experience of successful event management, including logistical planning and on-the-day support (S&I)
  • A strong ability to influence and develop effective working relationships at all levels (S&I)
  • Excellent written and oral communication skills (S&I)
  • The ability to prioritise work for yourself and others through pro-active planning and organisation, working independently and as part of a team, while remaining calm in a rapidly evolving environment. (S&I)

Desirable:

  • Good understanding of working in confidential environments and with groups at various levels of security classification.(S&I)
