Paralegal Team Operations Manager

The Legal Services Unit is CMS' centralised team of paralegals, currently numbering 100+ and continuing to grow. We are seeking an Operations Manager to support the Partner head of the LSU and the Senior LSU Manager.

This is a senior role which will include responsibility for developing and delivering the LSU's innovation strategy, alongside an operations focus.

About the Role
In this role, you can expect to get involved in a variety of work including:

  • Leading and driving forward the LSU's innovation strategy, including developing our training programme to upskill the team on legal tech and process improvement. This aspect of the role will involve close liaison with our Innovation and Legal Tech teams.
    • Pricing and scoping new instructions including agreeing service delivery levels;
    • Monitoring and reporting on team capacity and utilisation;
    • Leading on work pipeline forecasting, work allocation and resourcing decisions for the LSU on a daily basis, including delivering MI to support resourcing decisions;
    • Developing and delivering quality control processes;
    • Driving and developing service quality, process improvement and ensuring service levels are met;
    • Assisting with the development and implementation of the LSU strategy;
    • Assisting with promotion of the services that the LSU can provide across the business and to clients, including, where required, taking an active part in pitches and tenders and development of bespoke workstreams using LSU resource to provide solutions to clients;
    • Assisting the Partner head of the LSU with budgeting, resource planning and forecasting and management of utilisation and finances generally.

About You

• Well respected qualified solicitor (PQ3+; it would be an advantage to be dual qualified (Scotland and England & Wales) but not essential) or a highly experienced manager with well -developed management skills gained within a professional services environment and qualified to a degree level or equivalent;
• Experience of implementing and improving processes including service levels;
• Experience of managing capacity levels and work pipeline;
• An interest in innovation and curiosity around use cases for new legal tech;
• Experience in process improvement methodologies (i.e. Lean Six Sigma, TQM, Agile etc.), as well as experience in data-driven decision making and use of innovation and tech in driving process efficiencies. A qualification in a relevant process improvement discipline would be preferred, although not essential.
• Excellent attention to detail, a customer service mindset and should be a completer-finisher;
• Good understanding of all practice areas and core activities and has credibility with staff at all levels;
• Ability to work highly effectively under pressure and experience of managing challenging and demanding situations;
• Ability to produce flexible solutions to meet the needs of clients and lawyers within the firm;
• Ability to communicate and promote the services of the LSU clearly and enthusiastically;
• Ability to enthuse and encourage the use of the LSU to clients, partners and staff.
