As part of ITV Studios Marketing, the Brand Experiences and Engagement team are a multi award-winning in-house group of experts responsible for bringing our shows, our brand and our business to life for a range of audiences across the world. We plan and deliver industry-leading, commercially-focused experiences that are totally aligned with Sales teams and customers worldwide. The team also provides creative ideas and delivery for consumer activations including attractions, programme premieres/experiential and creative retreats.
Experiences can't happen without strong customer journeys, engagement - all informed by compelling data insights - and this team also provides CRM support. At the heart of it all, we create unforgettable experiences and campaigns that connect with our audiences, elevate our brand and drive results.
The role
The Junior Producer works across a portfolio of the events with the Producers, and will have ownership of smaller experiences and internal events that underpin the annual Brand Experiences strategy for ITV Studios. They will work closely with ITV stakeholders, external partners and with the wider Marketing team to build relationships, deliver objectives, KPIs and take our activity to the next level. The Junior Producer will also provide ad hoc support for the CRM Manager.
- Project planning to support the Producers on the flagship experiences and to deliver allocated projects. Areas of responsibility include but not limited to:
○ Scheduling of project meetings
○ Production and distribution of stakeholder documentation including agendas, post meeting status reports
○ Creation and distribution of project processes, templates and folders to ensure the smooth running of the project and a strong and stable admin base for each project using Monday.com and the G drive suite of tools
○ Budget management: raise purchase orders, update budgets with agreed spend, processing project expenses
○ Venue sourcing: create venue briefs and requirements, conduct independent venue search, site visits (where applicable) and report recommendations to project team within agreed timeline.
○ Research event dressing, props, merchandise stationary and purchase/hire items as required, managing approval of samples and logistics of delivery to include international shipment
○ Create brief and requirements doc to source event talent, entertainment and speakers
○ Collate and maintain detailed post event analytics sheets to track ROI and ROX
○ Coordinate with suppliers and agency partners to ensure on site logistics are worked though and every detail from accreditation to parking is captured and supported
○ Support the Producers in producing risk assessments and all pre-event Health and Safety documentation as required
- Guestlist & Delegate Management: coordinate and manage the registration of internal and external guests at all events, including creation of guests list in Salesforce, inbox management pre-event for guest RSVPs.
- Where applicable manage delegates travel and accommodation often including international travel
- Forge strong links with key internal personnel; the wider marketing teams, press and comms teams, sales teams and senior stakeholders
- Keep up to date with industry trends and developments and bring new ideas to the team to evolve our work; input to event brainstorms and idea generation sessions
- Act as a brand ambassador for Brand Experiences and ITV Studios Marketing
- Adhere to all ITV policies including awareness of and compliance with the Bribery Act and ITV Hospitality policies
- A passion and interest in what is hot and current not just within the events industry but within day to day life; restaurants, food, theatre, advertising campaigns and activations, venues, exhibitions and experiential activity
- Supports the CRM Manager in production of email marketing and GenAI projects.
Skills you'll need (minimum criteria)
- Solid experience working as a Project Coordinator
- Experience delivering experiences across B2B and B2C markets.
- A confident communicator with good written and verbal skills and an exceptional eye of detail
- Experience working with budgets, tracking spend and managing POs and invoices within a finance system
- Excellent organisational & administrative skills with exceptional attention to detail
- The ability to prioritise, work across multiple projects, multi-task and deliver to tight deadlines
- A positive can do attitude, willing to get stuck in no matter how big or small the task
Other things we're looking for (key criteria)
- Confident with all Mac operating systems, G Suite, MS office including Excel and Powerpoint
- Understanding of, but not essential, Keynote, Salesforce, Monday.com
- Good understanding of managing and creating databases for delegate management
- Understanding of the media and events industry; previous experience at MIPCOM is preferred but not essential
- Good understanding of organising international travel for delegates, talent and international shipment of event kit
- A good understanding of venue searching - where to go, what to consider and tools
