Job Purpose
The Investment Managers' Assistant plays a vital role in supporting a team of Investment Managers by delivering high-quality administrative and organisational support. This role ensures the smooth running of day-to-day operations and contributes to maintaining strong, professional relationships with clients.
The successful candidate will join a small but dynamic team managing a diverse portfolio of discretionary and advisory clients. While this is a non-regulated position, it is integral to the effective administration of client portfolios and the delivery of exceptional client service.
Key Responsibilities
- Provide comprehensive administrative support to Investment Managers.
- Maintain a clean, organised, and well-stocked office environment.
- Manage incoming and outgoing post (DX and Royal Mail), including franking and logging.
- Coordinate printer maintenance and stationery supplies, including marketing materials and account opening forms.
- Handle telephone calls professionally, taking messages and recording notes on client files.
- Maintain key records and logs (e.g., Health & Safety, Financial Promotions, Complaints).
- Transcribe dictation and manage document scanning, shredding, and photocopying.
- Prepare documentation and materials for client meetings, including refreshments and client reception.
- Assist with onboarding new clients, including AML documentation and account setup.
- Ensure timely production and dispatch of client valuations in line with regulatory requirements.
- Liaise with internal departments (e.g., Operations, Accounts) to support client transactions and queries.
- Maintain accurate and up-to-date client records and assist in the preparation of suitability reports.
- Monitor and follow up on new investments and client account activity.
- Support the processing of payments, including foreign currency transactions.
- Manage client files throughout their lifecycle, ensuring compliance with regulatory standards.
- Assist with probate valuations and sales.
- Support occasional projects such as Know Your Client (KYC) data collection.
- Subject to qualifications and experience, assist with:
- Preparing client reports and investment recommendations.
- Executing transactions (buys/sells), CGT calculations, and valuation histories.
- Responding to corporate actions and notifying clients accordingly.
Qualifications & Experience
- Minimum GCSEs (or equivalent) in Maths and English; A-levels preferred.
- For IP1: An industry-recognised qualification (e.g., Investment Operations Certificate) is advantageous.
- For IP2: An industry-recognised qualification is essential.
- Previous experience in a financial services or investment environment is preferred.
- A general understanding of the stock market and investment operations is desirable.
