Probationary Period
All new staff to the Trust will be subject to a standard 6 month probationary period, the details of which will duly follow in your contract of employment.

Agile and Flexible Working
All our staff will have a work base. However the Trust operates as an Agile Working Team therefore staff may be working from home on a regular basis as required by the service. However, occasionally travel around Warwickshire and into your base will be required so access to your own transport would be helpful.

About the Role
As the Manager, you will play a pivotal role in supporting in the day-to-day management of Inpatients bookings .
This role is an excellent opportunity for a motivated individual to strengthen their leadership skills.
Main duties of the job
To take lead responsibility for the Inpatient Booking and RTT validation Services within Patient Access Services across the Trust, keeping themselves informed of policy and technical developments in patient choice and booking processes.
The post holder would be expected to liaise and engage the Operational General Managers/ Departmental Managers/ Clinical Staff to ensure that service level agreement activity levels and quality standards are maintained for all aspects of Inpatient bookings and RTT across the trust.

Detailed job description and main responsibilities
Key Result Areas:
Principle duties will be amongst the following dependant on area of work
on the day:
Communication and reporting
Provide regular and ad hoc reports on RTT or Inpatient activity to the corporate Patient Access Meeting.
To foster good working relationship with other departments/agencies within and outside the Trust, ensuring that all stakeholders understand, respect and recognise operational policies.
To attend appropriate meetings ensuring that essential information is cascaded to staff and that staff concerns are relayed appropriately.
Liaising with General Managers and specialties regarding their inpatient activity, highlighting and escalating any issues as well as providing advice and support.
Provide expert guidance and advice to staff, health professionals, clinicians and GP practices
Attend Best Practice Groups and various other stakeholder groups for quality and improvement of Patient Access Services.
Ensure daily synertec reports are managed and resolved.
To provide Trust-wide training in both formal and informal settings
Elective Admission Management and Booking
Assist in the monitor and authorising of theatre session set up, cancellations and rescheduling. Including highlighting to General Managers where this may adversely affect the service and patients.
Deal with enquiries/requests/complaints from members of the public.
Deal with hospital general enquires via the e-mail system.
Respond to correspondence received from patients, consultants, clinicians and general practitioners.
RTT validation
Ensure all RTT validation reports are completed each month, which includes open pathways and data quality reports
Assist in the training and development of RTT validation through-out the trust
Provide RTT guidance to staff, health professionals and clinicians.
Liaise with CCG regularly regarding the RTT long waiters for the trust as well as any other ad-hoc information required
Data Quality
To liaise closely with the Information Manager to ensure accurate data quality and information within the department.
Monitoring and validation of Inpatient Waiting Lists and Patient Target Listing ensuring patients are regularly validated to ensure the waiting lists are accurate and up to date
Ensure patients are kept up to date with their admission and waiting times, including any correspondence.
Regularly liaise with the data quality manager regarding RTT reports and data quality management of RTT within the trust
Monitoring of call handling and ensuring staff are logging in and calls are answered within KPI's.
Regularly review patient feedback reports to ensure we are continuously improving the Inpatient services and RTT waiting times, liaising with the General Managers where appropriate
Management and leadership
Day to day line management of teams within the department
Provide effective leadership within the department.
To optimise the use of resources and ensuring staff effectively and efficiently use stationary.
The post holder will be a budget holder and be required to order stock.
To maximise the potential of the team, undertaking Personal Development Reviews and ensuring developmental plans are in place.
Ensure Mandatory training is up to date across the Outpatient and Reception teams
Sickness absence management/ attendance management across the Outpatient and Reception teams
To achieve appropriate staffing levels ensuring that staff leave is evenly distributed and staff sickness is managed in accordance with Trust Policies and procedures.
To assist in selection and recruitment of staff, ensuring induction programmes are in place for all grades of new staff.
To maintain service delivery at Service level agreement activity levels and quality standards, whilst ensuring that equipment in service and staff practice comply with health and safety standards at all times.
To investigate and take corrective actions relating to untoward incidents, accidents and complaints in accordance with Trust Policies and Procedures.
To support the Departmental Manager with disciplinary cases, investigating issues/concerns and taking management actions as necessary
Policies and procedures
To ensure that all staff adheres to Trust Policies and Procedures at all times. This includes staff compliance of all Health and Safety Policies and the Data protection Act 1998, which relates to electronically stored personal data.

Qualifications
Essential criteria
- Educated to degree level or equivalent experience
- Experience and knowledge of NHS E-RS
- Computer literacy to ECDL or equivalent License.
- Leadership qualification level 4 or equivalent experience
Desirable criteria
- Project management qualification or equivalent knowledge and skills
- E-RS Train the Trainer qualification
Experience
Essential criteria
- Experience and knowledge in Clinic Management
- Lorenzo training
Skills
Essential criteria
- Experience in supervising/managing teams
- Experience of working within the NHS
- IT skills including Excel, word and PowerPoint.
- Good working knowledge of electronic Patient Administration Systems (Lorenzo)
- Articulate and professional - able to liaise effectively with all staff groups and departments.

- Excellent organisational/co-ordination/work prioritisation skills.
