As the HR Administrator and Office Manager, you will be the heartbeat of our organisation, ensuring our office runs smoothly and effectively while taking a lead role in optimising our human resource practices. You'll be tasked with enhancing employee experiences and supporting hiring processes from the ground up. Your contribution will resonate through our entire team, ensuring that we cultivate a positive and productive workplace.

RESPONSIBILITIES:

  • Serve as the first point of contact for employee inquiries, guiding them with expertise and empathy
  • Manage end-to-end recruitment processes, from job posting to onboarding and offboarding.
  • Oversee employee records and ensure all HR documentation is up to date.
  • Implement HR policies and procedures to ensure compliance and optimise organisational effectiveness
  • Support the Chief People Officer in producing a range of HR documents and correspondence e.g. variation to contract letters, maternity and paternity leave entitlements, confirmation of passing probation, etc.
  • Support payroll and benefits administration, ensuring accuracy and timeliness.

  • Organise company events and team-building activities to foster a collaborative work environment. Source venues and organising company events such as Christmas party, Summer Sports Day and Company Meetings.
  • Maintain a well-organised office space that promotes productivity and well-being. This includes organising breakfast and weekly purchase of snacks + office supplies and organisation.
  • Responsible for administration of IT management systems being, this includes providing configuration, training and troubleshooting, including backup, security management, user account management, user guidance and applications support.
  • Compliance and Safety: Maintain compliance with health, safety and fire regulations.

Requirements

    • Proven experience in HR administration or office management.
    • Strong understanding of HR practices and employment laws.
    • Excellent interpersonal and communication skills that foster a positive company culture.
    • Organisational skills that ensure nothing falls through the cracks, even in a fast-paced environment.
    • Proficiency in HRIS software, Hibob and Gusto is a bonus.
    • Proficiency in HRIS recruitment softwares, workable is a bonus.
    • A proactive attitude with the ability to handle multiple tasks and be adaptable.
    • A passion for creating an outstanding employee experience.
    • Tech-savvy: you will be managing multiple softwares like: G Suite, Slack and Kandji
