GPA Critical Dates Manager

The role

This role has been created post a review of the team structure 18 months after the appointment of BNPPRE to the GPA contract. It has been identified that a role is required to oversee and manage all critical dates and actions required to optimise the GPA agreed outcome from that opportunity /risk. It will be sperate from the Property Management BAU activities to avoid impact on necessary BAU tasks but will work alongside each other.

The GPA portfolio is significant with many key actions required to support the Levelling Up agenda and articulate those to GPA and their clients and how they may impact on budgets.

The role is also designed to support on key projects as and when they become evident.

Roles and responsibilities

• Identify, oversee and manage all critical dates and the potential actions required to manage these key opportunities / risks. Considering new Onboarding properties and their critical dates.

• Working with financial teams and Asset Managers (both client and BNPPRE) on portfolio forecasting to include up to assumptions on all events

• At all times understand the key capital projects, acquisitions and opportunities which will impact on the above or provide a new property to the portfolio

• Ensure all parties are aware of the above and any actions, decisions or timeframes to deliver the GPA agreed plan for those properties.

• Work alongside other departments within BNPPRE to provide options from the critical path line up to include potential void management and the potential to dispose /regear properties

• Provide assumptions for budgeting for each critical date and change to the portfolio updating quarterly if required.

• Keep all reporting up to date considering the assumptions regarding the above

• Identify priorities to manage client instructions to ensure decisions are made in good time all parties understand the implications and next steps.

• Research and investigation of potential financial issues for future forecasting, void risks etc.

• Present forecasts to clients and respond to any queries or additional information required

• Identify, initiate, manage and implement any projects required

• Identify, initiate and design any reporting to support critical date and project management

• Provide assumptions and next steps for Transaction Reporting

• Constantly review processes to provide insight, reporting and efficiencies

• Manage and provide induction for new members of the team

• Work with the client to provide regular workshops to facilitate team working

• Travel within UK for client and internal meetings when required

• Supporting the team to deliver the contract when needed

Person specification

• Previous experience of managing portfolios and opportunities / risks.

• Excellent financial skills

• Read and interpret occupational documents, leases license's etc.

• Understand and interpret the critical events within an occupancy document

• Strong knowledge of commercial property markets

• Strong organisational, project management and spreadsheet skills

• Experienced user of IT systems and Microsoft packages, including Microsoft Word, Excel, PowerPoint, Outlook

• Mature and professional approach, confident in taking initiative to problem-solving.

• Controlling and monitoring even workload, experienced in meeting deadlines and working under pressure.

• Attention to detail and accuracy.

• Excellent communication and interpersonal skills.

• Working well as a team member, demonstrating responsibility, patience and understanding of other's needs.
