Are you ready to take on a pivotal role in a fast-paced environment? As a Global Technology Senior Executive Assistant based in London within Infrastructure Platforms and the Business Enablement and Transformation Team, you will provide diverse executive assistant duties for 2 MD's and their team requiring confidentiality, a strong work ethic and common-sense approach. You will support requirements which vary from day-to-day, dependent on the business covered and all applicants should have a solid PA/EA background and skill set with a strong degree of flexibility given the demanding nature of this role.
A friendly professional, you will be 100% relied upon to manage and take responsibility for your stakeholders' diaries and everyday needs, effectively and proactively prioritizing to ensure the bankers we support are able to seamlessly serve the needs of our clients. You will require minimal direction whilst utilising your strong attention to detail to navigate the needs of the group. You will work together in a great team of Executive Assistants based in the London area and you will provide coverage during absence / holidays.
Note: this role requires 5 days in the office.
Job responsibilities
- Manages daily activities: advanced, complex, proactive diary management, facilitating swift set-up of client and internal/external meetings, video conference calls and business partner meetings (high volume). The ability to support orchestration of Off-Sites/Town Halls/Skip-Levels.
- Manages complex multi-leg travel arrangements within policy. Co-ordination of flights, trains, check in, VISAs, accommodation, and ground transportation logistics. Handle a multitude of frequent changes at short notice and prepare accurate travel itineraries. Navigate travel systems well and apply good judgment on how to optimise traveller's time.
- Process invoices and T&E expense claims for team members. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter expert for policies and procedures.
- Faces off to wider support groups and partner with Business Management and other key business stakeholders cross Line of Business (LoB).
- Oversees distro lists and other administrational housekeeping.
- Becomes integral part of business, understand changeable group priorities and business expectations.
- Partners with assistants across LoB to provide coverage as required.
- Assist with staff on-boarding and off-boarding, which may include requesting equipment setup and system access.
- As well as the usual duties expected of an Executive assistant, the role requires tact, discretion, initiative and a strong awareness of confidentiality.
Required qualifications, capabilities, and skills
- At least five years of administrative experience, ideally experienced supporting at Managing Director level (or equivalent).
- Full competency in diary management, can apply good judgment and understand competing priorities.
- Advanced ability to organize; can handle deadlines efficiently.
- Tact and good judgment in confidential situations, and proven experience interacting with senior management.
- Strong interpersonal, written, and oral communication skills.
- Strong proficiency in Microsoft Office.
- Can demonstrate pro-activity and ownership within a role.
- Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management.
