The Role
Our Fleet Manager will oversee and coordinate the operation of Tapi's fleet of vehicles supporting our network of stores and Home Consultants across the UK ensuring they are run in the most cost effective and efficient way. Key responsibilities include vehicle procurement and planning, maintenance scheduling, driver insight and reporting, cost analysis and regulatory compliance.
This is a new stand-alone role for the company having previously been under the guise of our Health and Safety Manager.
The experienced candidate will ensure that our growing fleet will be looked after, forging the bonds and relationships with our Regional Manager's across the country.
This is a full-time role, based at our Head Office in Orpington.

About You!
Experience in fleet management, transport operations, or a related field.
Regulatory Knowledge: In-depth understanding of UK transportation regulations and compliance standards.
Organisational Skills: Strong organisational and time-management abilities to handle multiple tasks efficiently.
Communication: Excellent interpersonal and communication skills for liaising with various stakeholders across
the business.
Problem-Solving: Ability to quickly diagnose issues and implement effective solutions.
Forward Thinking: Put together an EV strategy for Tapi.
Reporting: Develop some analysis reporting from the new telematics system - key flags are idle timings / driver behaviour etc.
The Responsibilities
General Duties
- Maintain the MPDQ database and equipment for Home Consultants.
- Ensure the Mobile Showroom database is kept updated and liaise with colleagues in both the Buying and Tech teams.
- Produce quarterly reports for the senior leadership team including the Director of Customer & In Home Exp with an accurate overview of the current state of play and the upcoming 6/12-month plans.
- Undertake revisions to the Tapi Driver's Handbook as necessary.
- Revise and make changes to any of the associated team Risk Assessments.
- Contribute to the monthly Home Consultant newsletter with articles on relevant information.
- Ensure the Home Consultant tool kits are complete and issue out to any new starter liaising with our supply team on stock levels for tools and materials.
- Review the monthly Intelocate damage reports for the vehicles and respond to any issues raised via the system.
Hire Vehicles
- Arrange for hire vehicles as and when required, managing each hire is returned undamaged (or repaired) and that any PCN's are handled promptly.
Maintenance
- Manage the vehicle health, MOT's, and servicing schedules strictly to minimise downtime.
- Control our Intelocate system updated with both home consultant colleagues and mobile showroom assets.
Finance
- Monitor fleet costs and ensure they remain within budget.
- Manage all incoming fines for the Home Consultants, ensuring they are made aware of the issue and their need to cover the cost of said fine. Ensuring fines are paid in the first instance and that payroll are aware of the need to remove the funds.
- Develop strategies for improved cost efficiency.
- Sign off any invoices relating to the vehicles, ensuring the information is accurate and keep records of costs in the dedicated spreadsheet.
- Monitor fleet costs and with our accounts team each period.
- Produce budgets for the fleet management for the 12-18 months ahead.
Insurance
- Ensure our insurance team are aware of any vehicles hired outside of the standard channels of hiring to ensure we're fully covered.
- Liaise with our Insurance Partners over the fleet insurance team monthly to ensure we minimise the accidental damage reserves.
New Vehicles
- Oversee the preparation and delivery of new vehicles into the Tapi fleet, from sign off of the Internal racking to communications to stores and their Regional Manager's.
- Liaise with our Marketing team over the wrapping of all new vehicles within the Tapi livery and the external store location magnetic signage.
- Liaise with our Cost Management Team / Sales Director on the yearly fleet requirements and lease swap out plan.
- Home Consultant Apps + Services
- Managing all fuel cards for our Home Consultants - replacements, updates to database etc.
- Manage the parking apps for Home Consultants, liaising with Tapi's Tech Team to ensure availability on phones and tablets.
- Update and maintain all third-party payment portals - i.e. congestion / dart charge.
- Telematics Systems - Lightfoot / Movolytics
- Monitor driving behaviour through our Lightfoot system and flag any questionable activities.
- Oversee the continued roll out of the Lightfoot telematics as it replaces our existing Movolytics system.
Compliance
- Manage our fleet of 230+ vehicles are operating in accordance with legislation and regulations.
- Maintain accurate and detailed records of vehicle inspections and services.
- Liaise directly and regularly with our Regional Management team across the country, ensuring they are up to date on all goings on with vehicles off the road.
- Ensure all driving licence checks are completed for drivers via TMC's DVLA declaration scheme.
- Ensure required details for the yearly SECR reporting are compiled.
Forward Thinking
- Work towards getting the FORS (Fleet Operators Recognition Scheme) for Tapi.
- Further analysis on the fuel data / accident information.
- Investigate software for future fleet management systems to integrate.
- Work to update the new Pro-Lease Enterprise System for all things fleet related, ensuring key dates are imputed for the vehicles on file.
