Finance Manager

PURPOSE OF THE ROLE

The Finance Manager is responsible, under the direction of the Finance Director, to ensure the smooth running of the finance department. This includes managing two Accounts Assistants and ensuring that the financial records and reporting of Japan H L Ltd, Japan H L Enterprises Ltd & Japan House London Trust are kept accurate and up to date.

KEY RESPONSIBILITIES

The Finance Manager will ensure the:

  • Monitoring of day-to-day financial operations and of the finance function and compliance with internal procedures and accounting standards.
  • Preparation of reports for Ministry of Foreign Affairs (MOFA)
  • Development and management of financial analysis tools
  • Preparation of the annual budget/forecast, including liaison with budget holders and MOFA.
  • Supporting the Finance Director with the annual audit
  • Promote understanding of financial regulations and legislation.

Financial Administration and Reporting

  • Draft quarterly P&L, Balance Sheet and ad hoc reports for Board and Committee meetings
  • Monitor and prepare of general ledger entries.
  • Preparation and management of sales invoices and its accurate revenue recognition.
  • Preparation and management of periodic accounts close (Monthly/Quarterly/Annual).
  • Undertaking and management of Balance Sheet Reconciliations including bank accounts and daily sales.
  • Liaising with the external auditors during the annual financial audit, providing relevant audit evidence
  • Liaison and reporting, as required, with MoFA, ensuring compliance with MOFA specification.
  • Reporting on organisation's reserves utilisation
  • Cash flow management and FX monitoring
  • Reviewing month end stock reconciliations for The Shop including year-end impairment and adjustments.
  • Assist in the setting and update of internal control policies & procedures
  • Providing advice and assistance to non-finance staff
  • Overview of tax administration in conjunction with external tax consultant.

Budget and Forecast

  • Oversight of procurement procedures including management of purchase order system
  • Preparation and creation of annual budget and forecasts.
  • Liaison with Japan House London budget holders.

Management

  • Line manage and train the Finance Assistant for JHLL and Finance Assistant for JHLE
  • Provide guidance and direction to direct reports, fostering a collaborative, innovative and performance-driven work environment based on JHL Values
  • Support and coach direct reports via regular 1:1s, goal setting for development and reviewing performance.
  • As appropriate, support Japan House London's initiatives, cross-functional projects, and organisational development activities.

PROFESSIONAL QUALIFICATIONS KNOWLEDGE &EXPERIENCE

Essential

  • ACCA, ACA or CIMA or close to qualifying
  • A bachelor's degree
  • At least 5 years' experience of finance operations.
  • Experience with XERO or any other ERP system.
  • Experience of developing and implementing financial/accounting systems and procedures.
  • Experience of staff management is essential.
  • Good knowledge of UK GAAP is essential.
  • Competency in Microsoft Excel/Word/PowerPoint

Desirable

  • Good knowledge of UK tax regulations
  • Knowledge of Xero or any other ERP systems
  • Knowledge of the Japanese language and / or working with Japanese organisations is desirable
  • Knowledge of working with government funding would be an advantage
  • Experience with audit would be an advantage.

WORK ENVIRONMENT

  • We aim for a flexible approach to work locations, balancing regular on-site presence and working remotely. The mix of office-based working and remote working will be determined by business need and role requirements.
  • Some duties will be carried out in Japan House London public spaces
  • Office is based at Japan House London, Kensington High Street, however, off-site work is occasionally required.
  • Normal working hours are eight hours per day, five days per week, with core hours from 10am to 3pm.
