The Facilities Health and Safety Manager is responsible for ensuring the efficient and effective functioning of our health, safety and facilities across multiple locations in Norway, Ireland, the UK and Singapore. This includes managing maintenance activities and ensuring compliance with workplace Health & Safety regulations for Nova Systems International. This role reports to the Head of Business Operations and Assurance.
Key Responsibilities:
Health and Safety Management & Compliance:
- Maintain and coordinate the Nova Systems Health and Safety Management System.
- Ensure compliance with health and safety regulations and industry standards across all facilities.
- Conduct/coordinate regular inspections and audits to identify and address any health and safety hazards or concerns across all facilities.
- Monitor and review incident reports from all locations, ensuring thorough investigations, corrective actions, and knowledge sharing.
- Implement corrective actions and measures to maintain a safe and healthy work environment for employees and visitors.
- Facilitate health and safety training programs, ensuring all employees are aware of and adhere to local and group organisation health and safety policies.
- Monitor health and safety performance indicators across all locations and implement initiatives to improve safety culture and reduce incidents.
- Maintain health and safety policies, processes, and procedures for Nova Systems International.
Facilities Management:
- Oversee the day-to-day operations of all Nova UK facilities, including standardisation, maintenance, repairs, and renovations.
- Support international facilities outside the UK as required by the local accountable manager (e.g., regional General Manager).
- Manage and coordinate with external vendors and contractors to ensure timely and cost-effective delivery of facility services.
- Develop and implement site-specific management programs to maintain consistency across sites and ensure optimal functioning of facilities.
- Conduct space planning and utilisation studies to ensure efficient operations.
- Control and manage budgets for facility maintenance and operational expenses.
- Collaborate with internal stakeholders to optimise space utilisation and layout across facilities, including office moves and space renovations
- Identify opportunities for energy efficiency, waste reduction, and sustainable practices within facility operations.
- Supervise Office Coordinator in the conduct of their duties, providing line management if appropriate.
Budget Management:
- Control and manage budgets for facility maintenance and operational expenses within remit
- Monitor expenses and identify cost-saving opportunities while ensuring high standards of quality and service
- Collaborate with internal stakeholders to optimise space utilisation and layout across facilities
- Plan and coordinate office moves, relocations, and space renovations as needed to accommodate business needs within the opex parameters
- Manage facilities related contracts with vendors and landlords.
Environmental Sustainability:
- Develop and implement initiatives to promote environmental sustainability and reduce the company's carbon footprint in conjunction with the project lead on ESG initiatives
- Identify opportunities for energy efficiency, waste reduction, and sustainable practices within facility operations
- Proactively implement facilities efficiencies and gain productivity savings year over year.
General:
- Stay updated on local regulations, international standards, and industry best practices related to facilities and health & safety management in each location
- Prepare consolidated facilities reports for senior management, highlighting performance, compliance, and improvement initiatives for all locations
- Coordinate with local teams and external auditors during inspections, audits, and certification processes in each country
- Ensure Sharepoint page(s) and information/data under your responsibility are maintained.
- Supervise Office Coordinator in the conduct of their duties, providing line management if appropriate

Key Relationships:
This role will work closely with aviation safety experts across the business, Heads of Departments, and Business Unit leads. It will collaborate across NSI to develop cross-domain skills, technology, and expertise, while proactively managing client relationships and service delivery.
Essential Requirements:
- Proven experience in Facilities Management.
- Proven experience in Health and Safety Management.
- Professional certifications related to Health & Safety management (e.g., NEBOSH or IOSH qualified).
- Knowledge of health and safety regulations, building codes, and environmental standards.
- A proactive attitude with drive, energy, and passion for the role.
- Commercial awareness and strong business acumen.
- Eligibility to work in the UK and hold security clearance.
- Ability to travel within UK and occasionally to overseas facilities.
Desirable Experience
- Experience working within the aviation environment, specifically in the areas of production, maintenance, and aircraft modifications.
- Understanding and experience of working in the military aerospace regulated environment.
- Advanced IT literacy and be fully competent with full suite of Microsoft Office tools and industry standard planning tools.
