Role Description
We have an exciting opportunity for an Executive PA to join the team.
In this role, you will provide comprehensive PA support to an ExCo member ensuring they are well-prepared and organized to achieve their business goals. You will also collaborate with Business Managers and support additional team members, working closely with internal stakeholders across Allianz and external partners as needed.
This is a hybrid role based in our London office. Can be flexible with the number of days in the office.
Salary Information
Pay: Circa £50,000 per year.
Pay is based on relevant experience, skills for the role, and location. Salary is only one part of our total reward package.
About You
- Manages the ExCo's diary ensuring all meetings are scheduled, travel logistics arranged and corporate planning timescales are met.
- Review and maintain the ExCo's Inbox, coordinate responses and organises daily actions.
- Provides full administrative support to their ExCo and support for other Senior Managers in the absence of their PAs to ensure work is covered appropriately.
- Anticipates and fulfils the needs and requirements for meetings and conferences (including webinars etc).
- Ensures key meeting reports, minutes, slide packs/meeting papers, action updates and presentations are completed and issued in good time.
- Handles confidential data in a sensitive manner.
- Ensures that the Team meets the regulatory requirements in all aspects including the Gifts and Hospitality Register.
- Prepares and processes invoices for authorisation.
- Gathers, prepares and submits expense claims.
- Drives and ensures that communications from their ExCo member (blogs, intranet content, including organisation charts and distribution lists) are always kept up-to-date.
- Helps to co-ordinate the PA Network to act as a central hub for information to help deliver an optimal front-facing service.
- May mentor or coach new PAs as well as help recruit for PA vacancies.
Essential Skills
- Proven Executive PA experience at a Exco level.
- Experience of working with various electronic systems and reporting tools.
- Proven track record of showcasing excellent organisational, communication and prioritisation skills.
- Action coordination and ability to deal with stakeholders and managing them in a sensitive way.
- Effective communication and organisation skills.
- Demonstrates effective influencing and collaborating skills.
- Ability to delegate in the absence of their Manager.
- Advanced proficiency in Outlook, Word, PowerPoint and Excel.
Desirable Skills
- Background from Insurance or Financial services organisation however this is not a requirement.
