Grade: G7 £31,364 - £35,745 (pay award pending)

The Personal Assistant (PA) to the Executive Director provides high-level administrative support, ensuring the smooth operation of the executive's office including supervision of other Director PA's within the Directorate. The PA acts as a key point of contact among executives, employees, clients, and external partners.

Duties will include:

  • Calendar Management:
    • Manage and maintain the executive's schedule, including appointments, meetings, and travel arrangements.
    • Coordinate and organise meetings, ensuring all necessary materials are prepared.
  • Communication:
    • Screen and direct phone calls, emails, and other correspondence.
    • Prepare and edit correspondence, communications, presentations, and other documents.
  • Administrative Support:
    • File and retrieve documents and reference materials.
    • Collect and analyse data to prepare reports and documents.
    • Handle confidential information with discretion.
  • Meeting and Event Coordination:
    • Arrange and coordinate meetings and events, including logistics and catering.
    • Take notes and prepare minutes of meetings.
    • Coordinate and support special projects as assigned.
    • Ensure timely completion of projects and tasks.
  • Office Management:
    • Maintain office supplies and equipment.
    • Interact with external partners and manage professional relationships on behalf of the executive.
  • General Support:
    • Meet and greet visitors at all levels of seniority.
    • Provide general administrative support.
  • You must demonstrate Proven experience as a Personal Assistant or Executive Assistant, in addition to:

    • Excellent organisational and time-management skills.
    • Strong written and verbal communication skills.
    • Proficiency in MS Office and other relevant software.
    • Ability to handle sensitive information with discretion.
    • Strong interpersonal skills and the ability to build relationships with stakeholders.
    • Ability to multitask and prioritise daily workload.
