Executive Assistant to the CEO

ABOUT THE ROLE
We are seeking a highly organised and proactive Executive Assistant to support our CEO. This role requires a detail-oriented individual with excellent communication skills and the ability to manage multiple priorities efficiently.

The ideal candidate will act as a key liaison between the CEO and their stakeholders, ensuring seamless operations and contributing to the overall success of SINE and providing crucial support to senior leaders within the agency.

KEY RESPONSIBILITIES

Administrative Support

  • Manage the CEO's calendar, including scheduling meetings and appointments
  • Coordinate travel arrangements and logistics, including transportation, accommodation, and dining arrangements, both within the UK and overseas for the CEO.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Handle incoming and outgoing communications on behalf of the CEO.
  • Proactively address the needs of the CEO, handling requests and issues with tact and discretion.

Meeting Coordination

  • Anticipating needs, prioritisation and preparation for meetings and key events, including organisation of internal and external meetings.
  • Liaising with relevant personnel to ensure that all documentation and information is collated ready for business meetings
  • Preparing agendas, taking minutes, and following up on action items.
  • Facilitate virtual meetings and ensure all necessary technology is set up and functioning properly.

Board Meeting Organisation

  • Plan and organise board meetings, including scheduling, agenda preparation, and distribution of materials.
  • Ensure all logistical aspects of board meetings are handled, including venue arrangements, catering, and technical setup.

Project Management:

  • Assist in the planning and execution of special projects, initiatives and ad-hoc tasks as required, demonstrating flexibility and adaptability.
  • Assist with research, data analysis, and presentation preparation as necessary.
  • Track progress and provide regular updates on project status.

Relationship Management

  • Act as a point of contact between the CEO and internal/external stakeholders.
  • Maintain positive and professional relationships with clients, partners, board members, and team members.

Office Management

  • Liaise with the Office Manager on behalf of the CEO to ensure the smooth operation of both London and New York offices.
  • Assist with event planning and coordination for company functions and team activities.

Confidentiality

  • Handle sensitive information with the utmost confidentiality and discretion.
  • Maintain confidentiality of executive decisions, discussions, and documents.
  • Follow company policies and procedures related to data protection and privacy.
  • Maintain trust and integrity in all interactions and communications.

ABOUT YOU

As part of our dynamic, lively and fast-growing team, you'll need to demonstrate the following:

  • Demonstrable experience as an EA for C-Suite level, ideally for someone who travels between the UK and the US for work.
  • Industry specific experience - advertising, marketing or similar
  • Experience planning complex travel itineraries.
  • Experience organising and managing board meetings, including taking minutes and acting on key takeaways.
  • Exceptional organisational and multitasking abilities.
  • Flexibility and ability to adapt to changing priorities.
  • Demonstrable experience building up business acumen including an understanding of your leaders and business priorities.
  • Strong written and verbal communication skills.
  • Proficiency in Google Workspace or Microsoft Office Suite and experience with project management software.
  • Ability to work independently and take initiative.
  • Ability to work fast and accurately under pressure
  • High level of professionalism (including discretion and confidentiality) and a positive attitude.

LOCATION

Our stunning offices are based in the heart of Fitzrovia, minutes walk from Goodge Street, Tottenham Court Road and Warren Street stations. We currently operate a hybrid working week, including Tuesday-Thursday in the office with the option to work remotely on Mondays and Fridays.
