Purpose of the Role
This is a critical role which will provide full-time and comprehensive Executive Assistant support to 3 regional leaders in EMEA.
We are looking for someone who possesses the ability to provide strategy, planning, prioritisation and coordination of high volume and complex executive action items with appropriate urgency. You will be proactive, highly organised, have great attention to detail, an ability to remain calm under pressure and meet tight deadlines.
Key Responsibilities
Executive Support
- Executive Readiness: High‑level admin support ensuring full preparation for meetings and strategic priorities.
- Calendar & Inbox Management: Manage complex global schedules and triage communications with clear prioritisation.
- Meetings & Travel Logistics: Coordinate meetings, venues, agendas and all domestic/international travel.
- Stakeholder Liaison: Serve as primary contact for global executives, clients and external partners.
- Confidentiality & Issues Management: Handle sensitive information discreetly and manage last‑minute changes smoothly.
Project Support
- Project Coordination: Support cross‑functional projects with structured planning and clear communication.
- Stakeholder Alignment: Maintain strong relationships and ensure alignment on objectives and timelines.
- Risk & Issue Management: Identify risks, manage scope changes and escalate issues when needed.
Skills and Experience
- Executive-Level Support: Demonstrated experience supporting multiple regional executives within large, fast‑paced, matrixed organisations, consistently meeting deadlines and managing high‑volume workflows.
- Proactive Organisation: Highly organised with a proven ability to anticipate needs, plan ahead and streamline processes to improve efficiency.
- Confidentiality & Judgement: Trusted to manage sensitive information with complete discretion while exercising sound judgement in complex, high‑pressure scenarios.
- Strategic Thinking & Problem‑Solving: Strong ability to analyse challenges, develop solutions and work independently or collaboratively to drive outcomes.
- Relationship & Communication Skills: Exceptional interpersonal, influencing and negotiation capabilities, enabling effective communication across diverse stakeholders.
- Technical Proficiency: Advanced user of Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook) with a track record of quickly adopting new digital tools and systems.
