AWE is looking to recruit an Executive Assistant to provide appropriate, timely and accurate secretarial and administrative support.

What will I be doing?

Acting as a central point of contact, you will ensure that the Director is always in the right place, at the right time and properly briefed/equipped with the right information. You will possess exceptional written and verbal communication skills and be highly organised and methodical to ensure information is produced and presented to the highest standards of accuracy.

Key Accountabilities/Responsibilities:

  • Creation and management of a central document control for Executive meetings

  • Ensure high professional relationships are built and maintained with external and internal stakeholders.

  • Act as a role model displaying professionalism and exemplar behaviours to the organisation.

  • Ensure that best practice is shared professionally with peers and the wider secretarial capability.

  • Obtaining and providing timely, relevant, and accurate information / reports / feedback to and from the business

  • Organise and manage diary/s via Microsoft Outlook in consultation with task manager/s.

  • Review, prioritise and deal directly with email and other correspondence.

  • Telephone answering including call screening & forwarding calls as appropriate.

  • Schedule conference calls and ensuring room set up.

  • Ensure that reports, invoices, expenses, other documents, etc. are submitted and managed in a timely manner

To be considered for this role you will be able to demonstrate some of the following:

  • Excellent diary management as you will take full ownership and management of the Director's diary, appointments, and travel bookings.

  • Efficient organisational skills - Organising complex travel itineraries, adapting to any last-minute changes to arrangements. Managing data and documents on behalf of the Director and maintaining the Director's Action Tracker

  • The ability to balance conflicting demands and prioritise effectively.

  • Exceptional written and verbal communication skills including a professional telephone manner. Reviewing, prioritising, and dealing directly with email and other correspondence on behalf of the Director

  • A high level of computer literacy including the use of Microsoft Office products.

  • Experience working in an Executive support role would be desirable but not essential.

All candidates must be willing and able to obtain and maintain the necessary security clearance for the role and be willing and able to work in designated areas.
