Type: 12 month fixed-term contract / or 1 year secondment

Not day-rate type contracting but a fixed-term assignment with annual gross base salary and benefits

About the role

To provide proficient personal assistant support to two senior leaders in our business - the Voyager Program Directors. Both roles are based in 1HQ, London and have a global remit. This is a varied and challenging role which requires a high degree of proactivity, flexibility, initiative, confidentiality and the ability to work across diverse teams.

PA roles at Diageo are critical to the smooth running of our business; it is a varied role, with ample opportunities to grow and maximise the impact of the leaders and teams you support. Getting to grips and understanding the business areas you support will be key, in order to support your leaders, their meetings and projects

Role Responsibilities

  • Effective diary management - emphasis on anticipating needs and understanding complex priorities
  • Scheduling recurring and ad-hoc internal and external meetings, ensuring consideration of the time zones of those attending
  • Interacting with the Program Leaders and wider teams based all around the World (Global Functions) as part ofscheduling meetings, conferences and gathering information from the regions as needed
  • Booking meeting rooms, logging external visitors and organising catering (if required)
  • Travel, visa and accommodation management and co-ordination using preferred airlines/hotels and aligned with budget
  • Timely processing of expenses via Concur
  • Raising purchase orders using Coupa as needed in a timely, accurate and compliant manner, budget awareness and tracking
  • Co-ordinate information and business flows to the wider Global Functions business leaders and Operating Board and Steering Committees for the program
  • Managing routine one-off and recurring tasks, including resolving issues and implementing comprehensive solutions
  • Management and organisation of internal and external events e.g., conferences, training days, offsite meetings and team celebrations

Experience / skills required

  • Demonstration of high performance in a PA or Team Assistant role
  • Continually demonstrate high standards in terms of planning, quality and accuracy of work outputs to meet challenging timescales
  • Utilise exceptional interpersonal skills to build and sustain excellent relationships across a diverse range of cross-functional networks and at all levels of seniority
  • Be creative and proactive in finding solutions to issues faced by the leaders you support and develop and apply an understanding of the function to your work
  • Highly organised and self-motivated, with an ability to anticipate, effectively prioritise and progress workload
  • Demonstrate a high level of integrity, compliance, discretion and confidentiality at all times
  • Ability to tactfully and assertively prioritise core duties for those you support
  • Resilience through changes in direction, decisions and priorities
  • Experience working with; Concur, Condeco, Coupa, Outlook & Microsoft Office suite, Microsoft Teams & virtual meeting tools (e.g., Zoom)preferable
