Job Purpose

The Examinations Department manages applications, logistics, and appeals for ophthalmology specialist exams, delivering assessments in the UK and overseas and recruiting senior ophthalmologists to set, examine, and mark them. A key priority is ensuring all candidates and members have a positive and professional experience.

The Examinations Delivery Manager is primarily responsible for delivering the high-stakes Part 2 FRCOphth Oral examinations. The post holder works independently within established policies, balancing the need for excellent candidate service with maintaining rigorous standards and managing multiple priorities.

Alongside leading on designated examinations, the role provides advice to colleagues on protocols and policies across all College exams, consulting with the Examinations Operations Manager and Director of Examinations on exceptional matters. The post holder also contributes to improving departmental procedures and reviewing policies to support best practice.

Key Responsibilities

The Examinations Delivery Manager will be responsible for:

The end-to-end delivery of the Part 2 FRCOphth Oral and Certificate in Laser and Refractive Surgery examinations in the UK three times per year, ensuring that the examinations demonstrably meet the regulatory requirements of the General Medical Council and are fit for purpose

  • Maintaining strict confidentiality and security across the examinations process
  • Leading on the training, development and maintenance of all college questions banks
  • Ensuring that high standards of customer care for all members and candidates are maintained in the delivery of all aspects of examinations, particularly with regard to equality and diversity
  • Managing the examiner database and their training and recruitment
  • Line management of the Examinations Administrator, conducting regular 121s and half yearly appraisals as well as performance monitoring and other HR related issues.

UK Part 2 FRCOphth Oral and Certificate in Laser and Refractive Surgery Examinations

  • Confirming examination entry and timetables for all candidates.
  • Booking and conducting site visits to examination venues.
  • Ensuring the Examinations Administrator confirms arrangements for examiners including travel planning, hotels and group dinners.
  • Managing and maintaining the Part 2 FRCOphth and CertLRS structured viva question banks.
  • Attending and administering oral examinations at national and overseas centres.
  • Applying agreed standard setting and quality assurance processes to prepare examination results for approval.
  • Collating and providing performance feedback to candidates for oral examinations.
  • Communicating critical information to the Examinations Operations Manager, Director of Examinations and Senior Examiners.
  • Reviewing and streamlining administration processes in consultation with the Examinations Operations Manager and Director of Examinations.
  • Participate in the budgeting process, monitor budget lines and ensure finance requirements are met including coding invoices received, raising queries with suppliers and/or expense claimants and liaising with the Finance Team to ensure sales invoices are raised.

Line Management

  • Line Management of the Examinations Administrator.
  • Conduct regular 121s and half yearly performance reviews
  • Approval of leave and TOIL requests, maintaining sickness and absence records

Committees

  • Fostering strong working relationships with key stakeholders such as Senior Examiners and associated Sub-Committees.

Reporting and quality improvement

  • Analysing and monitoring candidate examination performance
  • Monitoring and developing standards for quality assurance
  • Providing reports as required by the Chief Executive, Chair of the Examinations Committee, Examinations Operations Manager and Director of Examinations.

Other

  • Oversee the Part 2 FRCOphth and CertLRS examinations at UK centres
  • Attendance at UK and overseas exams
  • Responsibility for maintenance and record keeping of exam equipment (iPads, etc)
  • Development and maintenance of college questions banks
  • Manage external suppliers and develop relationships with key stakeholders as necessary
  • Assist the Examinations Operations Manager in the development of new methods of assessment and associated policy
  • Assist the Examinations Operations Manager in the development and monitoring of equality and diversity policy and practice including equality assessments
  • Participate, as required, in the development and management of the College's ICT systems
  • Participate in activities and processes aimed at developing the performance, skills of all examination department members as aligned to the strategic aims of the College.
