The Signet Library in Edinburgh, renowned for its stunning architecture and rich heritage, seeks a dynamic and experienced Events Manager to oversee our diverse functions. This is a unique opportunity to work within one of Edinburgh's most iconic venues, combining your organisational skills with a love for history and culture.

Nestled in the heart of Edinburgh's historic Old Town, the Signet Library is a magnificent 19th century building. Designed by architect William Burn, it boasts elegant neoclassical architecture, a stunning central reading room, and beautifully preserved interiors that reflect centuries of Scottish legal tradition. Today, it continues to be a prestigious venue for events, private functions, and corporate gatherings, offering a truly memorable setting for any occasion.

Main Responsibilities

What you'll do:

  • Planning and Service Delivery
    Ensure all planning, operational, and kitchen service functions for the venue are effectively in place and meet the required standards.
  • Quality Control, Health and Safety, and Hygiene
    Manage all quality assurance measures, health and safety protocols, and hygiene systems to align with Heritage Portfolio standards and specific venue requirements.
  • Client and Team Communication
    Understand and clearly communicate the venue's service offers to clients, customers, and the Heritage Portfolio team to ensure alignment and satisfaction.
  • Innovation and Service Enhancement
    Lead efforts to innovate and develop service styles that generate positive PR and enhance client feedback.
  • Team Collaboration and Business Growth
    Actively participate in the wider events team, contributing to discussions and decisions that support the growth and improvement of the Heritage Portfolio business.
  • Event Service Articulation and Customer Experience
    Clearly define and communicate the service elements for each event, including food, equipment, flow, and overall customer experience, to improve business outcomes.
  • Financial Performance Support
    Assist the venue in managing financial aspects such as forecasting, event costing, post event reviews, cost control, stock management, and monthly reconciliation.
  • Site Readiness and Preparation
    Support venue teams in ensuring areas are prepared for site visits and event setups as required.
  • Security and Safety Compliance
    Ensure all security measures related to the building, stock, personnel, and client expectations are maintained before, during, and after events.
  • Site Inspections and Proposal Development
    Assist with regular site inspections and the generation of proposals to support event planning and venue development.
  • Teamwork and Workplace Harmony
    Promote a collaborative and harmonious working environment within the Heritage Portfolio team.
  • Business Development Support
    Support the General and Assistant Manager in identifying and pursuing financially sustainable opportunities to develop the business.

The Ideal Candidate

What you bring:

  • A passionate interest in the catering industry, knowledge of current trends, and interest in the hospitality world
  • Experience in a high volume catering environment
  • Ability to craft communication plans for key stakeholders
  • Evidence of ability to create and adhere to project delivery plans
  • Ability to competently use Microsoft Word, Excel, PowerPoint, and Email
  • Ability to motivate a team of mixed abilities and personalities
  • Proven record of managing a large front of house team of managers, event designers, and floor staff

Desirable:

  • Experience and understanding of event costing and design of events
  • Ability to produce accurate work under tight deadlines and pressure
  • Experience in assisting with creating a project plan
  • Capability to identify and highlight revenue maximising opportunities
  • First aid and personal alcohol license qualifications
  • Experience in assisting with creating a marketing plan
