We have an exciting opportunity for an Event and Exhibition Manager to join the Event Management team for Worldwide Events, the company behind m&i, Private Luxury Events, TFest and Amour.

The Role

We are currently looking for an Event and Exhibition Manager to join our Event Management Team. In this role you will primarily be working alongside our Event Director - Fests supporting the delivery of our two Fest events "m&i Fest" and "TFest". Additionally, you will look after the planning and execution of other large-scale B2B events, developing and maintaining relationships with high-profile event partners and external stakeholders.

Key responsibilities:

  • Assist in the planning, coordination and execution of our Fest events under the supervision of the Event Director - Fests.
  • Source and evaluate production companies to meet event requirements. Including quotes comparison and contract negotiation.
  • Work with an external production company and oversee the build of exhibition stands, studios and elevated meeting spaces (Global Village, etc) over a portfolio of selected events, within budget and on brief.
  • Ensure timely delivery, setup and teardown of all stands, studios and elevated meeting spaces.
  • Manage client communication, ensuring that pictures, logos, and information provided by clients meet specifications. This includes client follow-ups to ensure a seamless process for artwork sign-off and that all content is provided within deadlines.
  • Manage content and speakers, as well as the delivery of our podium client's presentations.
  • Act as the primary exhibition point of contact for clients and ensure effective communication in the delivery of their stand, studios, and package inclusions, such as private group lunches, cocktail receptions and educational sessions.

Further key responsibilities:

  • Additionally, you will support with the planning, coordination and execution of events from inception to completion.
  • Manage and track event expenses, ensuring adherence to allocated event budgets.
  • Collaborate with internal stakeholders to understand their vision and requirements.
  • Coordinate and approve attendee communication with the Customer Success team.
  • Coordinate with event partners to ensure all event logistics are handled efficiently.
  • Provide logistical support during events, including setup and coordination, and teardown.
  • Serve as point of contact onsite at events, supporting Senior Event Managers.
  • Conducting destination research and shortlist potential venues/partners as needed.
  • Assist in negotiations with event partners, sponsors and external stakeholders.
  • Manage the production of smaller stand builds at all events where they are included.

On occasion, the role may require you to participate in site visits, during which you will engage with both confirmed and potential event partners. Due to the nature of the events industry, you may occasionally be required to work outside of hours to meet deadlines.

About you

To be considered as an Event and Exhibition Manager, you'll need:

  • At least 2+ years of experience in event planning .
  • End-to-end full cycle event management experience.
  • Experience working in an exhibition, festival or stand based events.
  • Experience in handling multiple projects simultaneously.
  • Excellent organisational, time management and attention to detail.
  • Effective communication and negotiation skills.
  • Comfortable working with tight deadlines, and with changing requirements.
  • Strong problem-solving skills and a proactive approach.
  • A valid passport and the ability to travel internationally
  • Experience with CAD software or other floorplan design tools (desirable)
  • Experience working internationally or with international clients (desirable)
  • Proficiency in any additional language beyond English (desirable)
  • Knowledge of Salesforce and Airtable (desirable)
