Job overview
The e-Rostering Senior Specialist is critical in supporting the e-Rostering system across the Trust to deliver quality rosters that are safe, efficient and cost-effective. The post holder will be required to assist the Workforce Rostering & Information Manager in providing a comprehensive support service to all users of the system.
To be successful in the role, you will need to be capable of demonstrating that you can engage with operational staff to gather requirements, configure the eRostering system, and provide training for managers. As well as possessing excellent organisation skills and experience, you will be able to demonstrate that you can engage effectively with a wide and varied workforce to ensure that the system delivers the intended benefits.
You will also be required to assist in roll out of project work to increase the utilisation of the system throughout the Trust and to provide training on the system and project support on the roll out to new departments and system updates as required. You will also be required to challenge users to ensure they are creating a cost-effective roster to support their budgets.
Above all, we are seeking a highly motivated, proactive and dynamic individual to join our Team. You will need to understand the clinical environment and be able to advice on methods of improving rostering practices for all staff groups that will benefit patients and drive out financial savings.
Main duties of the job
Manage the BAU function and ensure the provision of high-quality support to all users. Ensure queries coming through the e-Rostering Team Inbox are prioritised and managed efficiently and that internal processes and procedures are complied with.
Assist with the Roster Review & Support meetings, providing support / advice to the roster managers and the Matrons/ Leads.
Raise, manage and/or escalate any key risks/issues as they arise, that may impact the use of e-Rostering within the Trust.
Set up, facilitate requirement gathering and review meetings with relevant operational leads to measure the effectiveness of operation support improvements and corrections where necessary.

- Ability to undertake essential training as required by the role and by Trust.
- Experience of interrogating data systems for problem solving and troubleshooting.
- Knowledge of budgets and establishments and impacts on Optima.
- Ability to challenge and to persuade others to change their working practices to take best advantage of the rostering system.
- Ability to communicate with all levels of the organisation and with differing staff groups, providing support and guidance in a positive way.
- Ability to plan and prioritise own workload whilst maintaining consistency and quality. Using own initiative and knowing when to escalate to manager.
- Understanding of Information Governance and Data Protection Act/GDPR.
Desirable criteria
- Advanced MS Excel skills including, but not limited to, Data filter, Pivot Table & Lookup.
- Understanding of the staffing needs of a clinical workforce.
Experience
Essential criteria
- Experience in using RLDatix Optima v11 system
- Previous experience of working in an NHS Organisation
- Knowledge, understanding and experience in creating robust working rosters within Optima.
- Experience of providing business/project support.
- Knowledge of Electronic Staff Record (ESR).
- Delivering training to large, small groups or on a 1:1 basis on Optima system in an NHS environment.
- Significant knowledge and experience of using RLDatix Software Optima Suite as a system administrator (including configuration of team rules, global patterns, and templates).
- Experience of dealing with difficult situations both face to face and over the telephone with positive outcomes
