Summary of Key Purposes of the Role:

To ensure the smooth running of the CEO's diary, travel, technology, and administrative tasks. Over sea the office management for all departments.

Responsibilities:

• Organising local and international travel while also managing an extensive diary for the CEO

• Submitting and organising expenses report where needed

• Supporting the sales and trading teams where needed, including those based in EU office including Ad hoc onsite conference and sales support if requested by the European Corporate Marketing team

• General office management - Organising internal meetings, booking rooms, liaising with catering, greeting clients, posting merchandise and any documents required

• Becoming familiar and a 'go to' for our various systems, including Concur, Compass, BTS and People Soft

• Perform general administrative duties such as completing copying, faxing, filing, etc

Board and Management Reporting including creation/ collation of reports for the CEO, Board and Exco plus meeting logistics.
Profile required
PROFILE REQUIRED

• Previous experience in organising changeable schedules

• Excellent attention to detail

• Experience of assisting multiple people, all with different demands

• Previous experience with regards to updating and maintaining of a CRM tool is welcomed as information is required quickly and efficiently

• Thorough knowledge of general office practices / procedures

• Excellent interpersonal, communication and organisational skills

• Able to work under pressure - a calm, organised approach and able to prioritise.

• The ability to interact with all levels of staff and the ability to handle confidential information.

• Excellent MS Office is essential

• Previous relevant experience of working for a team within a fast-paced environment in the financial services industry (desirable)
