The Sizewell C MEHA Alliance

The Sizewell C (SzC) nuclear new build project on the Suffolk coast is the second UK Nuclear EPR facility to be constructed, following the Hinkley Point project in Somerset.
The Sizewell C MEH Alliance forms part of the Sizewell nuclear new build project. The Alliance is comprised of four leading Industry Partners and the client who between them will be responsible to help deliver the pipework installation of this critical UK infrastructure project.

The Role

The Alliance is at an early stage of the new build project and is about to embark on a significant talent acquisition campaign and as a result an exciting opportunity has arisen for a Document Control and Records Configuration Manager to join the MEH Alliance. The role will be hybrid with the requirement for travel to the Bristol office One to Two days per week. The role will be recruited by one of the Alliance Partners.

The Purpose

This role offers a unique opportunity to establish, manage, and lead the document control processes from the ground up, ensuring that all project documentation is accurately recorded, maintained, and accessible throughout the project lifecycle.

Initially, you will be responsible for performing functional, day-to-day document control tasks, ensuring that the project's documentation requirements are met efficiently and accurately. As the programme develops and the volume of documentation increases, your role will expand to include the management of a document control team. You will be instrumental in setting up the foundational processes, strategies, systems, and procedures that will guide the project through to successful completion. This shall include the deployment of a digital EDRMS.

Reporting to the Head of Project Controls, your leadership will be critical in maintaining the integrity, security, and accessibility of all project documents, and ensuring that the document management system supports the project's needs, particularly as it scales in complexity.

What you'll be doing

  • Document Control System Development: Lead the establishment and development of a comprehensive document control system, ensuring it meets the project's needs and scales effectively as the project progresses.
  • Document Management Strategy: Innovate and oversee the accurate recording, classification, and management of all project documentation, ensuring compliance with project standards and regulatory requirements. Ensure all project documentation is accurately filed, indexed, and easily retrievable along with the oversee the management of both physical and electronic documents, ensuring they are up-to-date and accurately reflect the latest project information.
  • Process Implementation: Develop and implement and communicate the document control processes, procedures, and guidelines that ensure the consistent and efficient management of project documents from the early stages through to project completion.
  • Team Leadership: Build, manage, and mentor a document control team, fostering a culture of accuracy, efficiency, and continuous improvement within the team.
  • Collaboration: Work closely with project teams, including engineering, quality, procurement, and construction, to ensure that document control processes are integrated with broader project controls and project management activities.
  • Quality Assurance: Conduct regular audits and quality checks on documentation to ensure accuracy, completeness, and adherence to project and regulatory standards.
  • Change Management: Manage document revisions, ensuring that all changes are recorded, tracked, and communicated effectively to relevant stakeholders.
  • Data Integrity: Ensure the integrity and security of the document management system, implementing best practices for data protection and access control.
  • Training & Support: Provide training and support to project team members and stakeholders on document control procedures and use of the document management system.
  • Reporting: Generate regular reports on document control activities, status, and compliance for project management and stakeholders, ensuring visibility into document management performance.
  • IT and Digital Integration: Collaborate with IT teams to integrate document control systems with other project management and control systems, ensuring seamless data flow and access.
  • Risk Management and Security: Ensure confidentiality and security of sensitive project documentation. Develop and implement strategies to mitigate risks associated with document control and conduct risk assessments and develop contingency plans for document management.

What we are looking for

  • A degree or equivalent qualification in a relevant field such as information management, engineering, or business administration.
  • Extensive experience in document control or information management roles on large and complex infrastructure projects, with a particular emphasis on projects in their early stages of development.
  • Proven experience in setting up and managing document control systems and processes from the ground up.
  • Strong knowledge of document control standards, regulatory requirements, and best practices, particularly within the construction, engineering or nuclear sectors.
  • Knowledge of the nuclear regulatory requirements regarding the lifetime quality records.
  • Previous experience in leading document control teams, particularly in a matrix structure on major projects.
  • Strong functional understanding of the requirements and leadership and team management skills, with the ability to inspire and develop a high-performing document control team.
  • Excellent communication and interpersonal skills, with the ability to engage effectively with stakeholders at all levels.
  • Proficient in document control software, electronic document management systems (EDMS), and other digital tools related to document management.
  • Strong organisational skills and attention to detail, with a commitment to accuracy and quality in document management.
  • Problem-solving abilities with a track record of delivering solutions in a fast-paced, complex project environment.
