Job overview

The Nursing and Quality Directorate delivers support across the organisation for Nursing, Nurse Education, Incident Management, Audit, Complaints Management, Governance and areas of Risk Management.

The Datix team is responsible for successfully implementing all modules of Datix Cloud IQ to replace DatixWeb and ensure compliance with nationally mandated changes to our external data submission process.

The Datix team maintain the DatixWeb and Datix Rich Client (archive) system throughout the period of implementation and for a period following the rollout, when both systems will be used in parallel.

The role involves staying abreast of developments impacting the system by monitoring the latest guidance from NHS England, the CQC and the Department of Health and Social Care and the CQC.

The post holder will be a Datix Risk Management system specialist responsible for developing, managing and maintaining the Datix Risk Management system across all modules. The post holder will work closely with Nursing and Quality Directorate, corporate and directorate management teams and staff at all levels in the organisation to maximise ease of data entry, to facilitate easy reporting and to encourage adherence to local protocol for data, analysis of information in the database.

Main duties of the job

In house expert for the Datix system throughout the Trust ensuring staff are fully trained and supported in the use; that correct data entry leads to accurate statistical reports and that the Trust is able to utilise the system to its fullest.

Typical work streams include system development through forward planning by creating, implementing and rolling out Trust-wide training programmes; Identifying needed improvements and change; Developing new processes, standard operating procedures and documentation ; facilitating, documenting and taking forward actions relating to user acceptance sessions following changes; developing training; managing team and resources to meet deadlines; and liaising with stakeholders to enable proper engagement with the Datix system.

The Complaints and Datix team support the improvement of Trust services, facilitating and monitoring progress to ensure delivery, value for money, effective and sustainable improvements for patients and staff.

Detailed job description and main responsibilities

Key Responsibilities:

1. In house expert for the Datix system throughout the Trust ensuring staff are fully trained and supported in the use; that correct data entry leads to accurate statistical reports and that the Trust is able to utilise the system to its fullest.
2. Trust lead for Datix system maintenance, managing activity across all modules and working with a number of IT systems.
3. To support the Trust-wide implementation, integration, management and development of business information systems
4. To co-ordinate external reporting to the National Reporting and Learning System, KO41 Returns, Security Incident Reporting System, NHS Digital and any other external requirements in conjunction with subject experts/Trust Leads
5. Manage the DATIX contract, be the key liaison, and make efficient use of user licences.
6. To assist with delivering on performance targets
7. To be responsible for the management of specific projects and developments.

Person specification

Qualifications

Essential criteria

  • Educated to degree level or equivalent level combination of diploma level education, further short courses / training and relevant experience
  • Evidence of continued professional development
  • Post graduate diploma in ICT or equivalent

Desirable criteria

  • Training / Patient Safety / Risk Management qualification or evidence of experience of an understanding of patient safety / risk,
  • Datix Certified Practitioner (DCP course)

Experience

Essential criteria

  • 4 years' experience of working with an NHS Risk Management System and databases at System Administrator level
  • Strong data handling experience, including statistical and data analysis skills (including the production of charts/tables)
  • Ability to plan and deliver training sessions to diverse groups and individuals at all levels, with strong presentation skills
  • Experience in report writing, generating information from various data sources and presentations
  • Experience of ePJS (or similar NHS patient record system e.g. Cerner, EMIS, or RIO)

Desirable criteria

  • Experience of Datix management - including DatixWeb, Datix Cloud IQ and Datix Rich Client.
  • DATIX DCIQ experience
  • Experience of Power BI tool and Statistical Process Control (SPC) charts
  • Experience of Clinical Audit databases

Knowledge / Skills

Essential criteria

  • Highly developed IT skills, across a wide range of software packages and databases, inc: Microsoft Access; Advanced Excel skills etc
  • Able to work in a challenging and demanding environment and prioritise workload to deliver on core tasks, with strong time management
  • Ability to interpret requests from others to provide accurate information and advice
  • Able to communicate effectively-verbally and in writing at all levels; to convey complex issues to individuals, members of multidisciplinary teams and with external stakeholders
  • Knowledge and experience of implementing and embedding risk management systems across an organisation
  • Able to maintain high standards of diplomacy and confidentiality while working in/with highly sensitive and emotive circumstances or data
  • Ability to problem solve using tact, project, change management and process design skills

Desirable criteria

  • Knowledge of financial management systems
  • Ability to supervise team members to deliver demanding schedules of work
  • Knowledge of NRLS, KO41s and the management of Incidents, Complaints, Claims, Inquests, PALS and Risk Registers within the NHS
  • Knowledge and understanding of clinical governance issues
