ROLE PURPOSE

As a Creative Team Assistant & PA at Dentsu Creative, you will provide vital administrative and organizational support to our creative leadership team including Creative Partner, Head of Design and Executive Creative Directors, ensuring smooth day-to-day operations. This dual role combines the efficiency of a personal assistant with the versatility of an assistant to a creative team. You will help coordinate tasks, manage schedules, and ensure that all creative projects move forward seamlessly. Your ability to juggle multiple priorities and communicate effectively with both internal and external stakeholders will be key to success in this role.

RESPONSIBILITIES

  • Manage the schedules and calendars of the Creative Director and key creative team members, ensuring meetings, deadlines, and deliverables are effectively coordinated.
  • Assist with tracking project timelines, deadlines, and deliverables, providing support in the management of creative workflows from concept through execution.
  • Help maintain and organize creative materials, documents, and files to ensure the team's work is easily accessible and well organized.
  • Support in communicating with clients and external vendors to schedule meetings, coordinate project details, and ensure smooth communication throughout the creative process.
  • Coordinate logistics for team meetings, creative reviews, and brainstorming sessions, including preparing meeting agendas, taking notes, and following up on action items.
  • Arrange travel, accommodations, and itineraries for team members when needed, ensuring all logistics run smoothly.
  • Help prepare and organize creative briefs, presentations, and other documents required for the creative process.
  • Assist in tracking team-related expenses, processing invoices, and ensuring adherence to project budgets.

WHAT YOU BRING

  • 1-2 years of experience as an assistant, coordinator, or in an administrative role, ideally within a creative or agency environment.
  • Strong organizational and time-management skills, with the ability to handle multiple tasks simultaneously.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and creative project management tools (Trello, Asana, etc.).
  • Excellent communication skills, both verbal and written.
  • Strong attention to detail and a proactive approach to problem-solving.
  • A creative mindset and a passion for the creative industry.
  • Comfortable working in a fast-paced, collaborative, and dynamic environment.
  • Excellent prioritisation/multi-tasking, and time management skills.
  • Enthusiastic, "can do" attitude and willing to be flexible and good humoured.
  • Professional discretion and understanding of the importance of confidentiality.
