Our centre for trauma services and obstetrics is at Conquest Hospital, while our centre for urology and stroke services is at Eastbourne DGH. At Bexhill Hospital we offer a range of outpatient, day surgery, rehabilitation and intermediate care services. At Rye, Winchelsea and District Memorial Hospital we offer outpatients, rehabilitation and intermediate services. At Uckfield Community Hospital we provide day surgery and outpatient care.

In the community, we deliver services that focus on people with long term conditions living well outside hospital, through our integrated locality teams working with district and community nursing teams. Community members of staff also provide care to patients in their homes and from a number of clinics, health centres and GP surgeries.

Job overview

An opportunity has arisen for a Clinical Administration Manager based at Conquest Hospital working within the small central administration management team. The post holder will have responsibility for the daily operational management of clinical secretaries and administrative staff. Working closely with the senior management team as well as Divisional service managers to ensure appropriate support and work planning for service provision by developing, maintaining and managing the systems and processes within departments.

Proven leadership, advanced communication, attention to detail and a flexible approach are essential. The post holder would be expected to be proactive, driven and highly motivated. Staff management experience and a knowledge of HR processes is essential.

This is a part-time post of 22 hours per week

Main duties of the job

To have responsibility for day to day management, HR and operational issues for the administrative team. To manage and train junior secretarial, administrative and temporary staff with all procedures within the division, managing performance and objectives. Responsibility for monitoring team performance information, targets and quality measures, and embedding good working practices within the administrative team
Managing and approving annual leave for staff within the secretariat ensuring adequate secretarial cover in respect of annual leave and sickness where appropriate
To monitor and manage sickness/absence in relation to the Absence Management Policy for all secretarial staff within the Trust and to ensure appropriate action is taken when necessary.
To work as part of a group with other Clinical Administration Managers to look at new ways of streamlining and improving secretarial teams.

Person specification

Qualifications

Essential criteria

  • Expert knowledge of the full range of administrative procedures, acquired through degree or equivalent training and previous experience of working in an administrative environment
  • GCSE or `O` Level of Education or equivalent to include English & Maths
  • Management Qualification, i.e. NVQ Level 4 in Management or proven operational management experience

Desirable criteria

  • 1 st Line Management / New Manager Orientation
  • IT qualification

Experience

Essential criteria

  • Experience of working in a customer facing environment, resolving queries and using initiative to ensure first-class service delivery
  • Experience of supervising a team of staff
  • Experience of recruiting staff
  • Good IT skills including experience of using software packages for word processing, databases and spreadsheets
  • Previous experience of working in a large organisation
  • Previous experience of maintaining records

Desirable criteria

  • Extensive recent NHS experience, or experience of working in a healthcare setting
  • Managing staff sickness through HR policies
  • Managing competencies and disciplinary procedures through HR policies
