Client and Matter Management Inception Assistant Manager

Client and Matter Inception Manager

(Ultimately to the Senior Manager - Working Capital & Client and Matter Management)

JOB PURPOSE

To role will be responsible for assisting with the management of the client and matter inception team and the day-to-day operations of the client and matter processes and procedures for all practice areas of the firm. You will ensure that the client and management team provide an efficient and effective service to partners and colleagues across the firm. You would take a proactive approach to the client and matter inception process and be able to lead by example and apply your knowledge for all aspects of new and ongoing clients and matters. The role requires someone with good clear communication skills, and you will be expected to support with the workload within the team as well as working with the client matter inception manager to ensure that all controls are reviewed and implemented across the client and matter management team on an ongoing basis. You would be able to demonstrate that you have a clear understanding of the Anti-Money Laundering Regulations and be able to develop and implement policies and compliance procedures for new and ongoing client and matters. You would also be able to identify and assess any potential conflicts for new and ongoing clients and matters.

CORE TASKS

  • Ensure that all new data for new and existing clients and matters are set up accurately on the central finance system known as the Practice Management System
  • Review the assessment of potential conflicts for all new client and matter take-on and highlighting those clients and matters where it is believed a conflict may exist
  • Undertake the firm's client identification and verification procedures and ensure that the client and matter risk assessments has been fully complied with for all new and ongoing clients and matters and that all necessary documentation is properly filed
  • Monitor compliance checks for new and ongoing clients and matters
  • Consider the risk assessment of potential new and existing clients and matters
  • Carry out regular quality compliance checks
  • Actively participate in meetings and be involved in reviewing processes and ongoing tasks
  • Ensure that all letters of engagement have been sent in all situations where required
  • Support all team members where necessary and ensure that all tasks are regularly monitored
  • Other ad-hoc tasks as and when required
  • Be aware of Brodies' information security policies, and protect information from unauthorised access, disclosure, modification, destruction or interference at all times

SKILLS

  • Previous knowledge and understanding of Anti Money Laundering Regulations preferred
  • Good communication skills both written and verbal
  • Can demonstrate experience of working successfully in a challenging environment
  • Works as part of a team to provide an effective service to the department and the firm
  • Presents a professional image and provide a high-quality service to partners and colleagues at all times
  • Competence with all IT applications and seeks out opportunities to enhance IT literacy through training
  • Previous experience in a similar role within a professional services/financial service business is preferred
