Car Scheme Administrator, Central Transport

About the roleThe role of the Central Transport Car Scheme Administration Assistant is to work as part of a team delivering Central Transport’s (CT’s) objectives of supporting all Partnership vehicle operations in the efficient governance of driver and vehicle sourcing, management and cost control. To provide a high level of customer service to the vehicle operators and their suppliers maintaining the accuracy of information and highlighting any failings in adherence to processes. Taking ownership for their and Central Transport’s operational success and their own personal development.

  • Salary: £22,299.00 - £32,000.00 per annum

  • Contract type: This is a secondment opportunity until March 2026

  • Hours and location of the role:

  • 35 hours per week

  • Your home location will be our Bracknell Head Office

  • The Partnership has adopted a hybrid working approach meaning you'll be able to work a mixture between the office and home based upon your personal needs whilst balancing the needs of the business. The team attend the office on Mondays and Tuesdays to connect and on an ad-hoc basis for any team meetings and/or training days

Key responsibilities:

  • Maintain accuracy and integrity of information held in CT systems and processes

  • Investigate information discrepancies

  • Retain documentation as specified

  • Promote, develop and deliver outstanding customer service

  • Seek trends and patterns with errors, incidents and additional costs

  • Placing new car orders and arranging deliveries 

  • Use relevant systems effectively

  • Create profiles, update data, events and incidents on Key 2 and other systems used in CT

  • Answer and respond to phone calls and emails in a timely manner that supports the department’s SLA’s

  • Carry out housekeeping of archived information

  • Build relationships and liaise with car dealerships and third party providers

  • Support partners with guidance and advice on the Partnership Car Scheme

  • When required demonstrate flexibility across the site to enable business targets to be achieved

  • Participate in continuous improvement (CI) activities to assist with problem solving and process improvement to achieve KPIs

  • Look for opportunities to contribute towards branch initiatives

  • Attend and participate in communication meetings and briefings including democratic activity

  • Apply health and safety management standards evenly and effectively across the department, thus creating and enabling a safe working environment and also meeting any legislative requirements indicated by the products and/or equipment you work with

  • Be aware of and adhere to all Information Security Instructions (ISI) policy

  • Develop and communicate ideas to all management levels to improve customer feedback

  • Motivated to drive self development using all available resources to achieve success

  • Maintain an active Personal Development Plan (PDP) to achieve your agreed objectives, both ‘business’ and ‘personal’

  • Mentor peers to ensure that best practice is shared

Essential skills and/or experience you’ll need: 

  • Ability to work on own initiative and prioritise workload

  • Experience in an administration/customer service role

  • Experience in a fleet based environment

  • Good working knowledge of IT systems (Key 2, Google, Microsoft Office)

  • Intermediate spreadsheet skills

Desirable skills and/or experience you may have: 

  • Knowledge of employee car schemes

  • Working with high capital amounts and confidential material
