British Gymnastics has the following permanent full-time post:

Business Systems Manager

37 hours per week

Salary range £37,299 to £39,371.00 per annum (dependent upon experience)

39 days annual leave (including Bank Holiday and Company days) + 2 wellbeing days a year + weekly exercise and wellbeing hours

This is a home-based role with occasional national travel as required

Role Summary

The purpose of this role is to support and enable business change and analyse/develop efficient business activities, through the use of technology. The role will have a key focus on scoping, feedback, requirements gathering and prioritising systems development requests and configuration. The Business Systems Manager will be involved in full project and development lifecycles and have a central role of liaising with teams across the wider organisation. Knowledge/ Expertise in a Gymnastics or other Sports related environment would be desirable. *Please refer to the Role Profile for full details*

Main Areas of Responsibility:

1. Own or support projects in relation to business analysis, as designated and in line with business requirements and priorities; contributing at all stages of the project lifecycle from concept through to implementation - both internal systems and partnered systems.

Typical Activities:

  • Working with colleagues and stakeholders from across the business, gathering and analysing the project requirements to understand the business context and define the project/ business objectives, system requirements, deliverables, gaps etc.
  • In conjunction with colleagues, analysing the requirements, feasibility, systems capabilities etc; facilitating the strategic planning for the application development process and priorities, translating requirements into technically viable solutions.
  • Analysing/mapping current and required business activities and processes, identifying areas for improvement through the use of IT and Digital resources
  • Facilitating/overseeing the delivery of project development, including leading meetings, facilitating decisions, responding to requests for change, troubleshooting problems. Ensure that change control is aligned with operational requirements
  • Identify and recommend changes to Business Processes, selling benefits to senior management and stakeholders, including benefits realisation plans.

2. Supporting the IT & Digital department to deliver effectively and efficiently on a broad range of digital activities and projects.

Typical Activities:

  • Analysing and recommending innovative/logical/practical developments to gain maximum efficiency/benefit from current systems; working with the IT Architect, Developers, and Strategic Projects Lead to prioritise requests and allocate resources
  • Collaborate with the IT team to estimate backlog item development efforts
  • Lead on the configuration of our external systems to achieve business objectives

3. Keeping our sport, our members, charity beneficiaries and our colleagues safe

We operate as a matrix organisation: from time to time, you may be called upon to work on key organisation developments as part of projects, programmes or cross working groups. Depending on the extent of this work these may be managed formally through the setting of objectives by your line manager.

Role Requirements:

1. Knowledge, Skills and Expertise

This role requires the holder to be experienced in both business analysis and systems, as well as Gymnastics or other Sports related environments. They need the ability to work within and lead an effective project environment and co-ordinate the activities of a range of co-workers for the improvement of existing systems and the development of new systems of work, and ultimately the effective on-time/on-budget delivery of projects.

To be effective in the role the holder will require:

  • Analytical skills for measuring, interpreting and reporting requirements, plans and recommendations
  • An understanding of technologies across infrastructure, web and applications and the ability to engage and communicate effectively with non-technical contributors/users
  • Proven process analysis and improvement experience
  • An excellent understanding of business change.
  • Excellent verbal/ written/ interpersonal skills for working on projects that impact on multiple work areas, for building stakeholder relationships, for facilitating agreement and keeping projects focused, for communicating, influencing, engaging and challenging plans and risk assessments

2. People

This role does require the holder to formally line manage staff, a Business Systems Officer, and in addition does require the holder to guide co-workers, delegate and progress chase project tasks, provide advice and assistance to project managers across all work areas and support system users.

3. Shaping Direction

This role requires the holder to work on concurrent projects requiring in-depth planning and monitoring, to contribute to other projects or manage the full project life cycle for delegated projects. This will include:

  • Establishing effective project discipline and producing clearly defined plans of work
  • Setting milestones and allocating resources
  • Establishing and monitoring project development within a quality framework
  • Ensuring work is delivered to company and established IT standards, on time and on budget.

In addition, the role holder will be required to be the first point of contact for new development requests coming into the department and will be responsible for prioritising the associated work in line with department work programmes and strategic priorities.

4. Developing Solutions

The primary function of this role is to support business change and system configuration and will require the role holder to:

  • Interpret and analyse business or process change needs and recommend solutions and efficiencies
  • Understand the needs and wants of the business, and wider Gymnastics community
  • Map and challenge the effectiveness of current processes/practices
  • Conduct feasibility studies in line with proposed system developments; analyse and consider the business benefits, issues, risks, problems, opportunities and cost of delivering the changes
  • Consider the impact of the developments and changes across the business
  • Manage expectations, ensuring consensus from all relevant work areas/stakeholders
  • Understand and consider the current systems capabilities and write meaningful development specifications
  • Manage feedback and adjustments through rigorous quality and testing regimes
  • Troubleshoot issues and problems and offer innovative, logical and practical solutions
  • Map current business activities and recommend solutions, including the use of new and emerging technology

5. Decision Making

This role requires the holder to make day-to-day decisions in relation to their own work programme and projects, and to facilitate decision making within project teams, bringing focus to activities to keep projects on track and on time.

In addition, the role holder will be required to make informed recommendations in relation to all aspects of project management; to guide other project managers in their decisions and expectations in relation to project requirements and system capabilities; and recommend win-win solutions when there are conflicts between projects or work areas.

Also, the role holder will be required to make decisions as and when needed concerning the configuration of our business systems. It is expected that they will consult with other stakeholders as needed, but the expectation is that they are empowered to decide as needed.

6. Communicating

This role requires the holder to communicate regularly, professionally and succinctly with a range of colleagues, stakeholders and system users, including writing specifications; leading/influencing meetings; giving feedback to co-workers; collating/presenting reports, plans and up-dates; engaging with test and focus groups; producing user guides and delivering training etc.

The role holder will be required to understand and interpret project and system development requirements; share information and offer solutions across a range of projects; and convey technical solutions to non-technical audiences.
