The Business Support Manager, Europe will provide a high degree of project management and administrative support to the CIO Europe and Europe Technology Leadership.

You'll be integral to the coordination of the Europe Technology Strategic Roadmap and an extension of the Europe Technology Leadership team. The role will play a crucial part in Europe Technology project management and workflow organization by leading the coordination and preparation of key meetings, including owning the agenda, attending, minute taking and driving forward action planning and leading project tracking, using project management methodologies to ensure Europe Technology projects status is always current and available to the Europe Technology Leadership team.

A hybrid role with the requirement to work both onsite in London and from home, European travel may be required. A high standard of the English Language is essential.

Key Accountabilities & Responsibilities:

  • Meeting Preparation: leading the coordination and preparation of key meetings, including owning and preparing agendas, attending, minute taking and arranging meeting logistics to ensure smooth and productive meetings.
  • Meeting Documentation: taking ownership of preparing meeting documentation, including PowerPoint presentations, ensuring they are accurate, and those integral to the meetings have had the opportunity to input and review prior to finalization.
  • Meeting Attendance and Action Tracking: attend key meetings, take accurate actions, including action owners, track meeting actions and provide CIO Europe and Europe Technology Leadership, with regular updates to ensure action items are on track.
  • Project Management: Support with project tracking, using project management methodologies to ensure Europe Technology projects status is up to date and available to the Europe Technology Leadership team at all times.
  • Insight and Data: Support with preparation of key data and KPI's as required.
  • Calendar Management: Extensive diary support, including managing conflicting deadlines and fast changing priorities.
  • Communication Management: Manage complex mailboxes to ensure CIO Europe and Europe Technology Leadership are aware of emerging matters and changing priorities. As well as providing overviews and informative notes on meetings.
  • Travel Arrangements: Manage all aspects of travel, including booking flights, accommodations, and transportation. Research and recommend travel options, maintain travel itineraries, and ensure all necessary travel documents are in order.
  • Relationship Management: Work autonomously as well as integrate within teams, with a proactive and solution focused attitude, to help flow of communication across the CIO Europe and Technology Leadership Team by building and maintaining relationships with key stakeholders in varying locations, such as EA's and Leaders across the global enterprise.
  • Additional Tasks: Handle ad hoc tasks and responsibilities as they arise, including expenses management via Concur, managing invoices and raising PO's, management of team absence and attendance and event planning and coordination.

About you:

  • Experience in a similar role or in project management is an advantage
  • Previous Global Executive Assistant experience preferably within a large and complex matrix organization
  • Strong oral and written communicator with excellent interpersonal skills and the ability to adapt communication style to diverse audiences both in the UK and internationally
  • Excellent organisational skills developed within a fast-paced environment and significant experience in diary management including complex travel arrangements
  • Highly proficient in Microsoft Office (beyond Outlook) at an intermediate or advanced level is essential
  • Ability to work effectively both independently and collaboratively and flexibly with others and within a dynamic team, often to short deadlines and to achieve common goals
  • Strong ability to prioritise and influence
  • High attention to detail
  • Ability to maintain high levels of confidentiality, discretion and diplomacy at all time
