The role

The Business Manager, Global Client Solutions is responsible for providing proactive strategic and operational support to the office of the Global Head of Client Solutions. This role will:

  • Work closely with the Global Head of Client Solutions and the Executive Assistant to ensure active and efficient management of their email account and diary.
  • Monitoring the inbox and using initiative to take actions on behalf of the Global Head of Client Solutions.
  • Deputise for the Global Head of Client Solutions at meetings where appropriate.
  • Making and coordinating detailed arrangements as required for relevant internal and external meetings including preparation of agendas, coordinating and distributing papers, writing and drafting papers and presentations as required, taking minutes and following up actions following key meetings and maintaining action trackers.
  • Planning and delivering events with internal and external stakeholders.
  • Providing administrative support at relevant meetings and committees as required. Drafting of correspondence and emails for the Global Head of Client Solutions.
  • Undertaking research and preparing reports and briefing documents for the Global Head of Client Solutions ahead of meetings.
  • Maintaining an efficient filing system and archives, retrieving data as required.
  • Act as a first point of contact for external and internal queries.
  • Deal with a range of enquiries from a range of stakeholders at all levels of seniority in a discrete and sensitive manner.
  • Build strong working relationship with the Executive Assistant, working together collaboratively to ensure the smooth running of the office.
  • Lead projects on behalf of the Global Head of Client Solutions as required.
  • Works closely and collaboratively with enabling functions including finance, people & culture, risk & compliance.

Management & Commercial Support

  • Provide management and commercial support to increase the effectiveness and efficiency of the Global Head of Client Solutions' agenda, objectives and accountabilities to ensure that matters are dealt with in an efficient and effective manner.
  • Focus on operational efficiency to ensure that the GHCS's directives are executed effectively.
  • Help filter and prioritise the issues and requests that reach the GHCS, ensuring that the GHCS's time is spent on strategic priorities.
  • Research, analyse, summarise and develop action plans to business) issues.

Analysis & Advice

  • Identify issues requiring research or analysis, determine solutions directly or in consultation with relevant business unit heads and other internal/external groups as necessary.
  • Analyse and develop written and numerical data in various forms including reports, correspondence, presentation slides, and other documents as required.
  • Act as a key liaison between the GHCS and other members of the team, ensuring that information flows smoothly and that decisions are communicated effectively.

Communication and Representation

  • Ensure that the GHCS is well-prepared for meetings and interactions with internal and external stakeholders.
  • Attend meetings with the GHCS, as required, document and take ownership of agreed actions.
  • Review incoming and outgoing communications and where appropriate, summarise, prepare responses and/or redirect to the appropriate person(s).
  • Represent the GHCS and act as delegate where appropriate when away from the office, identifying and managing priorities and activities are completed as required.

Your Background and Experience

  • Relatable experience in a similar role and/or within funds management or financial services.
  • Able to demonstrate previous experience in managing senior stakeholders to achieve outcomes, including the ability to effectively influence and challenge.
  • Demonstrated ability to operate in a complex global business, working across and appropriately influencing matrix teams.
  • Tertiary educated with a degree in a relevant discipline, or comparable experience.
  • Strong business acumen
  • High degree of organisational awareness, understanding of where to engage to efficiently manage issues.
  • Strong communication capability and experience
  • Excellent interpersonal and relationship building skills with the confidence and credibility to act quickly.
  • Ability to deal with ambiguity and high levels of change
  • Highly developed organisational and problem-solving skills.
  • Ability to interpret and understanding key messages from varied audiences.
