Bid Support Manager

ROLE DEFINITION
The Bid Support Manager will oversee and coordinate the bidding process within the company for bid(s) assigned to them. This will essentially entail overseeing the end-to-end bid process from initial bid and bid deliverable analysis to submitting work winning proposals in conjunction with the Estimating Department.
KEY RESPONSIBILITIES
- Leading and/or supporting the end-to-end bid process, including opportunity
and bid deliverable identification, qualification and proposal submission.
Coordinating with the Estimating Department undertaking a full technical
review of all quotations received to ensure employer requirement, specification
compliance and identification of any scope gaps. - Organises and leads the internal Bid Kick Off and Mid-Bid progress meetings with all stakeholders having first identified and prepared a bid overview and deliverables.
- Develop and execute bid strategies on a bid-by-bid basis that align with the
company's goals and client requirements.
Day to day coordination and collaboration with various teams and departments
within Phoenix including Estimating, Commercial, Legal, Digital Engineering,
HSEQ, Planning, ESG, Design and Operations to ensure all aspects of a bid
are addressed and responded to on time and in the required format.
Manages bid resources and timelines to ensure on-time and high-quality
proposal submissions.
Maintains comprehensive and accurate bid documentation, including bid files
and records of communication.
Prepares Project Delivery Method Statements and/or Project Execution Plans
as required taking into consideration the delivery methodology.
Participates in PQQ, Mid Bid, and Post Tender client interviews and takes a
proactive role in the timely closing out for all pre and post tender TQ's and
clarifications.
Attends internal bid settlement meetings and contributes to the presentation of
project scope, risk and opportunity to the Senior Management Team. - Ensures compliance with client requirements, regulations and industry standards.
- Identifies bid risk and opportunity including value engineering.
- Leads and coordinates the entire bid deliverables process, including reviewing
bid invitations, supporting bid/no-bid analysis and establishing timelines. - Develop compelling and persuasive bid content, including executive
summaries, value propositions and technical responses. - Coordinate and facilitate bid review meetings, ensuring key stakeholders
provide input and address concerns or issues. - Work with the Estimating Department to develop competitive pricing strategies
that align with bid requirements and profitability targets. - Coordinate with legal and compliance teams to ensure bid proposals meet all
legal, regulatory and proposed contractual requirements. - Remain up to date on industry trends, market insights and emerging best
practices in bid management.PERSON SPECIFICATION

Understanding of a variety of document electronic document management systems such as Aconex, Kahua, Asite etc.

Mission Critical/Data Centre Experience

Previous role in MEP Pre-Construction/tendering and
understanding of the tender process

Attention to detail to ensure documents are accurate to project requirements.

Previous experience with working with people at all levels
e.g. Clients, Directors and Department Managers

Industry-specific technical knowledge, including understanding of industry terms, policies and processes.

Good electrical and associated systems understanding including (but not limited to) MV/LV, UPS, Fire Detection & Alarm, BMS, PMS/EPMS, SCADA, Telecommunications and Security systems.
