Full Time

Are you a highly organised and proactive individual with excellent communication and interpersonal skills?

If so, we are looking for you to join our team as a Personal Assistant (PA) to two Directors.

As a PA, you will play a vital role in supporting the Directors and the wider Executive Team. You will be responsible for a wide range of administrative tasks, including managing the Directors' diaries, responding to correspondence, and producing presentations and reports. You will also be expected to work collaboratively with other PAs and Directors to ensure that everyone is supported and that the team achieves its goals.

  • Band: 5 (interim appointment with potential to develop into a substantive role)
  • Location: Primarily on-site at Croydon (with up to 1 day per week working from home)
  • Contract: Interim (length to be confirmed)

Main duties of the job

  • Manage the Directors' diaries and email inbox, prioritising tasks and ensuring efficient use of time.
  • Respond to all incoming correspondence and draft responses on behalf of the Directors.
  • Produce a variety of documents, including letters, memos, presentations, and reports.
  • Provide an effective interface with a range of internal and external stakeholders.
  • Manage staff complaints as applicable on behalf of the Director.
  • Organise internal and external meetings and events.

Detailed job description and main responsibilities

This is a key role that requires someone highly organised, proactive, and resilient, with the ability to manage competing priorities and provide excellent support in a fast-paced environment. We are looking for candidates who can demonstrate:

  • Strong organisational and diary management skills across multiple senior leaders
  • Ability to pick up new information quickly and manage tasks with minimal oversight
  • Professionalism and a positive, solution-focused attitude
  • Confidence in liaising with senior stakeholders and teams
  • Experience working within NHS or similarly complex organisations is desirable

This is an excellent opportunity for an experienced PA to work at the heart of the organisation with exposure to two high-profile portfolios.

  • Recognised secretarial qualifications or equivalent experience

  • Experience of working in a healthcare environment & Working for an Exec Director

  • Ability to take minutes / notes at meetings and produce comprehensive minutes / action notes.
  • High level of attention to detail
  • Ability to work autonomously.
  • High level of complex diary management skills
  • Ability to draft correspondence on behalf of the Executive
  • Excellent oral and written English skills
