ASSISTANT FACILITIES MANAGER - FACILITIES MANAGEMENT

BIRMINGHAM

What you will be doing:

An opportunity has arisen for an Assistant Facilities Manager to join the team at Galliford Try within our Facilities Management Business.

Ideally, you will based in or around the Birmingham area and will have the opportunity to travel across multiple sites/projects in the Region.

• Deal with all enquires to the project office from Clients, Customers, Galliford Try Facilities Management (GTFM) staff via telephone, email or direct access/attendance at the project office
• Monitoring and accurately closing PPM tasks which have been allocated to Sub-Contractors, GTFM operational staff from the CAFM system operated by GTFM.
• Ensuring that quotations are obtained, along with the raising and closing of related tasks in the CAFM system for Lifecycle, Variations, Chargeable works, and the AGBH process as instructed by the AM and maintaining records accordingly.
• Undertake the filing of project and GTFM documents to SharePoint or CAFM as appropriate.
• Ensure in conjunction with the AM that the Statutory Compliance obligations of GTFM are met via the effective management of the management of the Planned Preventative module of the CAFM system
• Ensure / monitor the reporting of events and tasks to the Help Desk system of CAFM and follow through the same to completion
• Liaise with School Head Teachers, Teaching Staff and other Client Representatives as required
• Participate in meetings with representatives of the Client, Authority or Schools as required and directed by the AM
• Participation in the preparation of the Monthly reports for the Birmingham Schools Project Monthly report for the client
• Assist the Facilities Manager and participate in an Out of Hour's Standby and Call Out procedure to deal with issues and emergencies as part of a list of nominated contacts
• Carry out Health & Safety checks as required across the sites facilities and services and assist in scheduled site inspections, ensuring that all H&S Regulations and GT Health & Safety Standards are adhered to at all times recording details of shortfalls and identify possible improvements and report, document any incidents in line with GT Policies and Procedures
• Actively participate in all internal and external audits to the project
• Ensure / monitor the reporting of events and tasks to the Help Desk and follow through the same to completion
• Cover for the Facilities Manager within the project during periods of sickness and holidays when the need arises.

About You:

• Experience in FM, PFI Knowledge would be advantageous
• Experience in managing of PPM and reactive tasks
• Experience in managing and leading a team
• IOSHH Managing Safely qualification or willing to gain this qualification
• Preferably NEBOSH GC qualification or willing to gain this qualification
• Good Excel skills, managing trackers, obtaining quotes, dealing with Sub-contractors
• Good Organisational and Time management skills
• Project work experience
• Managing Contractors
• H&S knowledge
• Being able to work remotely when required, and without the need for close supervision
• Travel between sites as required
• Good initiative
• Flexibility and to be available for out of hours emergencies
• Any technical knowledge would be advantageous but not essential
