Summary of Position

Title: Assistant Facilities Manager

Hours of Work: Full-Time, Monday to Friday

Contract Type: Permanent

Location: London

Salary: £25,000 to £28,000 depending on experience

Responsibilities

  • Managing supplies - keeping stock record and ordering of stationery, equipment and cleaning supplies.
  • Asset and Microsoft licences management
  • Management of the onboarding and offboarding of staff in terms of issue of work equipment: laptops, mobile phones, keys, etc., and the allocation of Microsoft licences (A1, A3, A5) as appropriate.
  • Managing email accounts - keep a working record of staff email accounts and ensure that email accounts distribution and closures take place for staff as required (starters and leavers).
  • Compliance - ensure regular fire alarm tests are carried out (by the relevant centre security/facilities) and recorded; arrange for Fire Extinguishers servicing to be carried out and recorded; ensure that site risk assessments are carried out by the relevant centre, and occasionally may be done by the Assistant Facilities Manager, depending on the specifics of the risk assessment and relevant compliance requirements.
  • Contractor management - liaise with contractors on obtaining quotes for any site repairs; create and monitor the delivery of the repairs schedule of works; liaise with Accounts to arrange payments.
  • Security - arrange for holiday cover when security personnel are on leave.
  • Cleaning Standards at sites - to do site visits on bi-weekly basis to monitor the standards of cleaning at the London sites and address any issues with the cleaning staff as and when required. Provide training, as may be necessary.
  • Travelling between sites within London will be expected with occasional travel outside of London on a same day return basis.

Person Specification

Education / Qualification and Training

  • A Health and Safety qualification or certification would be advantageous.
  • Risk assessment qualification or certification would be advantageous.

Skills and Knowledge

  • Strong team focus with an "all hands on deck" approach,
  • A self-starter able to work with little supervision.
  • Ability to plan and organise in a timely manner, prioritising workloads effectively and meet deadlines.
  • Always looking for a way to improve current processes and cut costs maintaining quality of delivery.

Experience

  • Prior experience in facilities management or related roles is essential. Experience within educational setting is a plus.
  • Experience in a multi-site environment would be beneficial.
  • Experience working in a fast-paced environment, where processes and the working environment are constantly changing.
