Who Does This Role Report Into? Estate Manager

This is an incredible opportunity to work in one of London's most iconic business and lifestyle destinations, welcoming millions of visitors annually and working within a dynamic team in a fast-paced environment. The development encompasses 20 buildings, over 3,000,000 sq ft, a management team of 30 individuals, 300+ service partners and is home to 30,000 occupiers.

This role will assist with the delivery of Estate management services at this prestigious site. It will support the Estate Manager in delivering first-class Estate management as a part of the London Bridge City team. The role will lead on various administrative duties, office management, service charge management and reporting, specific projects, contractor management, Occupier and client engagement and helping to deliver the London Bridge City strategic vision.

The role is ideal for someone with initiative, drive and exceptional organisational skills, attention to detail and excellent written and verbal skills. The role presents a great opportunity to learn and develop Estate management skills as a part of a portfolio team.

  • To assist and support the Estate Manager in the day-to-day management of the Estate, occupiers, and public realm.
  • Management of the shared, Estate management office space
  • To organise daily operational tasks by coordinating with the service teams, to carry out administrative work, to inspect the estate for condition and compliance
  • To work closely with the Estate Management Team, Events Team, Engineering Manager, Fabric Surveyor and service partners to deliver projects on the Estate and public realm.
  • Assist in providing a best-in-class service to the single-let occupiers and the landlord, promoting key relationships.
  • Assist in management of the third-party retail units
  • To engage with Estate-wide colleagues and champion the BRIDGE values, working in partnership to create a one-team culture

Skills, Knowledge and Values

Skills (People & Technical)

  • Support the Estate Manager in advancing good client relations with appropriate occupier representatives within the single-let portfolio; propagate open communication and flow of information on all Estate issues.
  • With assistance from the Estate Manager ensure and update records of compliance with all LBC and MAPP's operational processes and procedures.
  • Assist the Estate Manager in procuring quoted costs and other appropriate information to facilitate the production and subsequent management of the Estate service charge budgets.
  • Support the Estate Manager in ensuring that health & safety, emergency procedures and safe working practices are enforced and conform to current legislation. In the absence of the Estate Manager to take control of any emergency situations and execute evacuation plans.
  • Support the Estate Manager with regular, document inspections of third-party occupier and retailers, including documenting and preparing post inspection reports.
  • Support the Estate Manager with regular occupier meetings and minute taking, including follow up actions.
  • Support the Estate Manager in undertaking regular physical inspections of completed works and service contracts and of all areas of the premises in their entirety.
  • Support the Estate Manager with all aspects of routine correspondence with single-let buildings and lead on administrative duties to support the efficient running of the Estate Management Office.
  • Assist the Estate Manager in ensuring that the production of service specifications, contracts and associated documentation properly represent the service requirement of the premises and are presented and executed in accordance with company guidelines.
  • Management of the Estate Management Office, including supplies and general operational needs.
  • Assist with the tracking and processing of service invoices and the production of management accounts.
  • Take ownership of LBC's and MAPPs vision and values ensuring that they are fully integrated into all of the Estate services and operations.

Experience and Salary

Level of Experience / Certifications:Essential skills:

  • Possess excellent verbal and written communication skills.
  • Demonstrable experience in client and customer engagement.
  • Technically competent with a good knowledge of Microsoft Office 365.
  • Experience in contract management and managing KPIs.
  • Service charge budget management and reporting.

Desirable:

  • IOSH or NEBOSH qualified
  • Interest in sustainability.
  • Flexible working patterns, including some evenings and weekends.
  • Good understanding of property and estate management principles and current industry trends.
  • Knowledge of Estate management and service maintenance operations.

Working Hours: 9am - 5.30pm Monday - Friday
Salary Range (Based on Experience)
GBP 40,000 - GBP 45,000
per annum, depending on experience.
