About the role:
This is an exciting opportunity to join LifeArc in a newly created role. The role will sit within the CEO Office and will manage and coordinate the executive administrative support requirements across LifeArc, facilitating the provision of general administrative support to departments. It will involve developing processes and workflows for implementation across the team to support an effective and efficient service with appropriate resource management.
In addition, the role will collaborate with the Facilities, Organisation Development and communications teams to support the embedding of our employee value proposition through an enhanced employee experience within the office environment.
About you:
Responsibilities will include;
- Leading and line managing the executive administration team in accordance with LifeArc's policies and procedures and in line with the manager pillars: we are focused on a compelling future; we engage our teams; and we drive and recognise great performance.
- Promoting and embedding a culture of supportive team working within the executive administration team.
- Reviewing executive administrative support requirements across LifeArc and establishing a baseline level of support to be provided, creating consistency and fairness of access to support.
- Coordinating across departments to ensure executive administrative needs are serviced.
- Overseeing the workload of the team and allocating work amongst the team as ad-hoc support requests arise, ensuring fairness of work distribution amongst the executive administration team.
- Ensuring continuity of support when executive administration team members are sick or on leave.
- Monitoring spend on executive administration temps.
- Leading on the recruitment of new executive administration team members as required.
- Conducting new employee office inductions - tours and introductions.
- Planning and implementing employee experience events and initiatives across sites in collaboration with the Facilities, Communications, and Organisational Development teams.
- Management of memberships - maintaining a database of LAs annual memberships, point of contact, expiry dates, associated fees and benefits offered with the membership, e.g. Pistoia Alliance, BIA, EDIS.
- Management of conference attendance - ensuring that anything TC-related is signed off by TC leaders, and that LA delegates are co-ordinated to avoid over-attendance and unnecessary cost.
- Managing the social committee and associated budget.
Experience required:
- Significant management experience in an administrative environment.
- Experience managing and motivating a large team.
- Excellent verbal and written communication skills, with the ability to interact effectively with individuals at all levels in the organisation.
- Experiencing of managing a social committee experience or similar office events management.
- Strong organisational and multitasking abilities, with a keen attention to detail.
- Demonstrated problem-solving skills and the ability to make sound decisions under pressure.
- Proficient in Microsoft Office Suite and other relevant software applications.
- Basic understanding of budgeting, financial reporting, and cost control.
- High ethical standards and a commitment to maintaining confidentiality.
- Ability to adapt to changing priorities and manage multiple tasks simultaneously.
- Strong interpersonal skills with a collaborative and team-oriented approach.
- Proactive and self-motivated, with a strong sense of initiative and the ability to work independently.
- Operates with autonomy, making decisions related to daily operations, resource allocation, and team management without supervision.
- Engages in problem solving and stakeholder management to prioritise tasks and optimise resource allocation to align administrative functions with the broader objectives of the organisation.
- Continuously improves administrative processes to enhance efficiency by conducting regular process reviews, gathering feedback, and implementing best practices.
Education:
- A-Levels or equivalent
- Degree level education desirable

Salary will be determined by qualifications and experience along with other exceptional benefits.
