Accounts Payable Manager

The Accounts Payable Manager is responsible for overseeing the entire accounts payable process, ensuring accurate and timely processing of invoices, payments, and expense reports. This role includes managing the AP team, maintaining relationships with vendors, and ensuring compliance with company policies and regulatory requirements.

Key Responsibilities:

  1. Management and Supervision:
    • Supervise and lead the AP team, including hiring, training, and performance evaluations.
    • Delegate tasks and ensure workload is evenly distributed among team members.
    • Provide ongoing support and development opportunities for the AP team.
  2. Invoice Processing:
    • Oversee the accurate and timely processing of vendor invoices and employee expense reports.
    • Ensure all invoices are matched with purchase orders and receiving documents.
    • Resolve discrepancies related to invoices, purchase orders, and payments.
  3. Payments and Disbursements:
    • Manage the preparation and execution of payment runs,
    • Ensure timely payment of vendor invoices and employee reimbursements.
    • Monitor cash flow requirements related to accounts payable.
  4. Vendor Management:
    • Maintain strong relationships with vendors, addressing inquiries and resolving issues promptly.
    • Ensure accurate vendor records and maintain up-to-date vendor information.
  5. Compliance and Controls:
    • Ensure compliance with company policies and relevant accounting regulations.
    • Develop and implement AP policies and procedures to enhance efficiency and accuracy.
    • Conduct regular audits of AP processes and transactions to ensure accuracy and integrity.
  6. Reporting and Analysis:
    • Prepare and analyze AP aging reports, payment forecasts, and other financial reports.
    • Monitor key performance indicators (KPIs) for the AP function and implement improvements as necessary.
    • Collaborate with the finance team to support month-end and year-end closing processes.
  7. Systems and Technology:
    • Oversee the maintenance and improvement of the AP system, ensuring it meets the needs of the department.
    • Work with IT and other departments to implement system upgrades or new software as needed.
    • Ensure the security and confidentiality of financial data.

Qualifications:

  • Education: Bachelor's degree in Accounting, Finance e.g. AAT
  • Experience: Minimum of 10 years of experience in accounts payable or a related finance role, with at least 8 years in a supervisory or management position. Experience of managing multiple remote teams.
  • Technical Skills: Proficiency in accounting software and Microsoft Office Suite, especially Excel.
  • Soft Skills: Strong analytical, problem-solving, and organizational skills. Excellent communication and interpersonal skills.
  • Other: Detail-oriented with a high degree of accuracy. Ability to work under pressure and meet tight deadlines. Knowledge of applicable laws and regulations related to AP.

Work Environment:

  • Primarily office-based with occasional requirements for travel or remote work.
  • Fast-paced environment requiring flexibility and the ability to manage multiple priorities.
