Job overview

If you are looking for an exciting new challenge North London NHS Foundation trust comprising in excess of 50 sites across 5 London Boroughs is the place for you.

Working as part of the Property team within the Estates and Facilities Department the post holder will be responsible for:-

  • managing all aspects of occupancy and space utilisation for the Trust across its portfolio including; the maintenance of space utilisation and occupancy data to assist in forward plans and estate strategy development.
  • key in space related cost reduction and will support the Property team and the Trust in the strategic management of the Trust's estate and on all space occupancy and cost of space matters for the Trust's portfolio.

Working closely with clinical and non-clinical leads, the post holder will manage and implement departmental space requests arising from commissioning or divisional service strategies.

The post holder will be responsible for managing all aspects of space utilisation and occupancy across the Trust including the maintenance of space utilisation and occupancy data, managing space requests from clinical and non-clinical services and delivering property and accommodation solutions to meet these requests.

In order to meet the needs of the Trust you may be required from time to time to work at different locations to your normal place of work. This may mean that you are required to work at any location that fall under Barnet, Camden, Enfield, Haringey or Islington. The Trust reserves the right to require staff to work at such other places or locations as it considers reasonable and necessary on a temporary or permanent basis.

Detailed job description and main responsibilities

The main duties and responsibilities of this post include:-

1. To oversee space utilisation across a large complex multi-site organisation.

2. To lead on the management and resolution of space requests from Trust Clinical and Corporate services and Divisions arising from consolidation and rationalisation of services or requests for additional space.

3. To keep and maintain a record and of space requests across the Trust's portfolio together with management of the referral process to the Space Utilisation Group.

4. To be responsible for implementing new space proposals which may involve decommissioning space, re-configuration of space, move management, undertaking feasibility studies, design, programming, and the co-ordination of external consultants and contractors.

5. To advise and provide support to the Head of Property to determine scheme briefs, budgets, timescales, and logistics.

6. To attend project team meetings and support/compile with any presentations to key stakeholders.

7. To support the change management processes to deliver space utilisation improvements within the Trust - working closely with a wide range of non-property stakeholders to ensure effective communication and smooth transition.

8. To act as the first point of contact for all requests for space and follow established process to produce feasibility investigations and options appraisals to make proposals for space requirements ensuring adherence to principals and standards and alignment with established Estates Strategy.

9. To interpret and make decisions across a wide range of space project issues (including capital schemes) including the design options available for space layouts taking into account Health and Safety legislation.

10. To work with the Estates and Facilities team to ensure accurate space records, including audits of space use and functional suitability for estates management statistics and ERIC.

11. To undertake as required site visits across the estate to identify the scope, the varying physical levels and conditions of the estate to contribute to the development of the project brief.

  • An honours degree or equivalent in a relevant subject

  • Demonstrable relevant experience within a space management role

  • Good knowledge and experience of managing and delivering schemes which involve movement of staff.

  • Detailed knowledge and application of space planning practices.

  • Demonstrable knowledge and experience of relevant software packages such as MICAD, FM Systems/Analytics (OccupEye), AutoCad, Microsoft Word, Excel, Access, Project.
