About the role

Balfour Beatty has an exciting opportunity for an Office Manager to join the Regional Buildings business unit based in Brighton.

Role Purpose

  • To provide a range of secretarial and administration support to the project team.
  • To be responsible for the effective management of office facilities and supporting administrative resources for a designated team within Project.

What you'll be doing

  • Develop and administer office management processes and systems to ensure the efficient and effective running of the office
  • Manage Administrator(s) and allocate to teams according to workload requirements, ensuring cover required at all times
  • Ordering of project supplies
  • Ensure that invoices are duly authorised and processed in a timely manner
  • Ensure the office is fully compliant with all security protocols and Health and Safety requirements
  • Ensures office supplies are at a sufficient level and replenished as required
  • Check that office equipment is in full working order and take immediate action to ensure any repairs are reported to the relevant internal/external provider
  • Monitor and check the quality of services provided by external suppliers, contractors and other relevant third parties
  • Manage project calendars and meeting room bookings
  • Arrange travel and hotel bookings for project staff
  • Ensure statutory and communication notices are displayed and kept up to date
  • Support the local Business Continuity Manager in both the preparation and testing of a Business Continuity Plan and in its enactment in the event of an emergency

Who we're looking for

The following qualities/experience are essential:

  • Experience in managing a busy office environment and managing a team
  • Experience in prioritising own/others' work and of allocating and checking work
  • Highly organised and able to work on own initiative
  • Strong communicator able to communicate confidently with all level of colleagues within the business
  • Excellent team working skills and able to build relationships at all levels
  • Ability to work well under pressure and to tight timescales
  • Very strong customer focus
