Job overview

This post is to cover Maternity leave for 9 months starting in April 2025 - We are seeking a highly motivated and creative individual with excellent management and I.T. skills to join and lead the Lewisham Community Mental Health Team, Primary Care and Mental Health Team (PCMHT) Neighbourhood 4 & Personality Disorder Service administrative team. You will oversee and support both the performance and business functions of the administrative team whilst being able to use your own initiative and skills to problem solve.

This is a fast-paced environment with competing demands and priorities. You will need to be proactive in providing support & guidance to the administrative team, whilst being able to operate independently & flexibly in a diverse & demanding environment.

Detailed job description and main responsibilities

Job Purpose:

  1. To assist the Clinical Service Lead to develop and maintain the operational management of the Lewisham CMHT, PCMHT N4 & PD Service. Ensuring that appropriate systems are in place for the smooth delivery of service across the team.
  2. To be a key resource to the Clinical Service Lead and other members of the multi-disciplinary team in delivery of key performance targets set by the Care Quality Commission (CQC).
  3. To provide Business Management support for Lewisham CMHT, PCMHT N4 & PD Service whilst managing own workload and acting independently with the aim of maintaining an efficient standard of service with a high level of confidentiality, in accordance with the requirements of the Service.
  4. To effectively manage the Lewisham CMHT, PCMHT N4 & PD Service administrative team.
  5. To ensure that confidentiality is maintained at all times.
  6. To act as Ambassador for the Trust at all times in liaison with internal and external departments and individuals.

Person specification

Qualifications

Essential criteria

  • Relevant degree or professional qualification or equivalent experience
  • Evidence of continuous professional development
  • GCSEs or equivalent qualifications in English and Maths (A-C)

Desirable criteria

  • RSA 3 secretarial qualification or equivalent qualification

Experience

Essential criteria

  • Extensive administration and management experience with a thorough working knowledge of efficient and effective office procedures.
  • Excellent communication skills both verbal and written
  • Excellent interpersonal skills
  • Excellent copy typing skills (50wpm or above) and telephone manner
  • Accurate data entry skills and grammar/spelling/punctuation
  • Ability to plan, prioritise, multi-task and problem solve
  • Effective time management skills
  • Ability to work on own initiative and as part of a team

Desirable criteria

  • Ability to supervise staff
  • Experience of working in the NHS, ideally within a mental health environment; hospital or community clinic

Knowledge/Skills

Essential criteria

  • Experience in a responsible administrative / secretarial role
  • Proven experience of office systems (including Microsoft Outlook, Word, Excel and PowerPoint)
  • Experience of minuting meetings
  • Experience of composing correspondence
  • Awareness of Data Protection and Confidentiality
  • Understanding of Racial Awareness and Diversity
  • Confidence to deal with patients and members of the public

Desirable criteria

  • NHS in house systems and databases
